We're searching for an Administrative Assistant to join our team in our Daytona Beach office. This position will support the office's essential functions. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. Strong organizational, communication, and computer skills are a must!

- Serve as the face of the firm to all incoming clients.
- Open and close the office, Monday through Friday from 8 a.m. to 5 p.m.
- Coordinate incoming and outgoing correspondence including email, phone calls, and mail.
- Prepare and send packages for clients and employees.
- Create a positive and professional experience for clients, vendors, and guests at the office.
- Organize schedules for physical facilities maintenance and repairs.
- Assist employees with appointments, meetings, and travel arrangements.
- Respond to inquiries and requests from employees and clients in person and virtually in a timely manner.
- Perform data entry and maintain records with accurate and up-to-date information.
- Generate and distribute memos, letters, forms, spreadsheets, and faxes.
- Reconcile and process invoices; resolve discrepancies with vendors and accounts payable.
- Process tasks through various virtual platforms as assigned.
- Handle sensitive information and communication to maintain confidentiality and security.
- Order supplies, food deliveries, and equipment for the office and employees.
- Maintain office supplies by checking stock, anticipating needs, placing orders, receiving and verifying deliveries and stocking inventory.
- Maintain and upkeep of meeting/conference rooms, breakrooms, kitchen, etc., ensuring a clean, organized, and welcoming environment for clients and employees.
- Assist with special projects and other tasks as assigned by management.
- Collaborate with other administrative staff and support other colleagues as needed.
- High school diploma or equivalent experience. Associate's or Bachelor's Degree in business administration preferred.
- 2+ years of administrative experience.
- Proficient with Microsoft Office Suite or related software. Microsoft Teams experience preferred.
- Prior experience in public accounting or another professional services organization is preferred.
- Must have a valid Driver's License with an acceptable driving record and ability to operate a motor vehicle.
