Responsibilities of the Executive Assistant are to support our senior leadership: + Complete and submit contracts for lobbyists and state consultants for Government Affairs. + Review and track invoices, budget for sponsorships, support management of budget for leaders. Prepare/track expense reports. + Heavy calendaring management: coordination and planning for meetings, conference calls and special events for conferences; arranging annual team meeting events; arrange and confirm local and domestic travel. + Attend and take notes during weekly meetings and follow-up on action items; build agendas for bi-weekly government affairs team meetings. + Facilitate communication with all levels of management, both internal and external + Create, edit and proofread business communications and documents using MS Word, Excel and PPT + Special projects on an as-needed basis + Register for conferences for government affairs team members and state consultants + 5 + years executive level support required, senior management level for large company preferred + Travel scheduling experience is a must + Some reasonable evening and/or weekend availability is needed as business operations continue outside of normal office hours with travel, meetings, events + Highly-organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness and efficiency + Advanced level skills with PowerPoint, Excel, MS Word, Outlook + Strong efficiency and timeliness in completing work + Ability to take self-initiative and be proactive + Ability to multi-task and prioritize workload + Ability to recognize and appropriately handle highly confidential material + Excellent verbal and written communication skill + Demonstrated ability to operate efficiently under pressure, handle simultan To view full details and how to apply, please login or create a Job Seeker account
