About the job Administrative Executive Assistant
As the Executive Assistant to the Leadership Team, you will be responsible for providing proactive and seamless administrative support to our leadership team members. You will play a critical role in maintaining smooth communication channels, managing calendars, coordinating meetings and travel arrangements, managing cryptocurrency payment and handling confidential information with discretion. This position requires exceptional organizational abilities, strong attention to detail, excellent interpersonal skills, and the ability to thrive in an exciting, fast-paced environment.
Responsibilities
- Provide support to our executive team, assisting in daily office needs and managing general administrative activities, including; Calendar and meeting management, travel coordination, communications and correspondence, cryptocurrency payment and information management, and general administrative support.
- Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
- Draft, proofread, and edit correspondence, presentations, reports, and other documents.
- Proactively manage and maintain the executives' calendars, including scheduling appointments, meetings, and conference calls.
- Coordinate meeting logistics, including room reservations, audio/video conference setups, and catering arrangements.
- Receive payments from project partners and coordinate payments and logistics with agents and vendors.
- Coordinate and manage cryptocurrency payment relating to crypto investment portfolio
- Handle requests from vendors or clients
- Prepare meeting agendas, compile relevant materials, and distribute them to attendees.
- Prioritize and handle multiple time-sensitive tasks, such as expense reporting, invoice processing, and document preparation.
- Prepare, upon request, executive-level presentations, reports, and spreadsheets, ensuring accuracy and attention to detail.
- Maintain financial records for various companies. (i.e., expense reports, expense reimbursement reports, etc.)
- Oversee general office operation; develop and update administrative practices to improve efficiency.
Qualifications:
- Bachelors Degree or equivalent experience
- Proven experience as an executive assistant or in a similar administrative role supporting multiple executives (3+ years of EA experience strongly preferred).
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Outstanding verbal and written communication skills, with an eye for detail and grammar.
- Proficient in using productivity tools and software such as Microsoft Office Suite, calendar management systems
- Superior ability to identify and follow up on action items and tasks
- Ability to pivot with frequently changing priorities, remaining fast and flexible at all times
- Strong organizational skills while managing multiple projects and deadlines
- Confidence and positivity and the ability to thrive under pressure
- Excellent judgment, critical thinking, and decision making skills
- An open and ego-less communication style and experience collaborating cross functionally
- Excellent verbal and written communication skills
