We are looking for an Executive Assistant to join our team based in San Francisco, California. In this role, you will provide comprehensive support to our CEO, taking on a range of responsibilities including meeting coordination, document management, and general administrative tasks. This position offers a contract to permanent employment opportunity and will require you to work standard West Coast hours.

Responsibilities
• Provide high-level administrative support to the CEO, ensuring smooth daily operations.
• Manage the CEO's calendar meticulously, taking into account travel time and location logistics for conferences and meetings to prevent late arrivals or missed appointments.
• Take accurate meeting notes in real-time during conference calls and meetings, capturing all essential details and action items.
• Exhibit strong communication skills to ensure effective follow-up on tasks and projects.
• Prepare and edit word documents, ensuring accuracy and professionalism in all written communication.
• Coordinate travel arrangements, including transport and accommodation, ensuring all arrangements are in line with the CEO's schedule.
• Develop and manage PowerPoint presentations, ensuring they are well-structured and visually appealing.
• Utilize Office Suite and other software such as Cisco Webex Meetings, Concur, CRM, and About Time, demonstrating tech-savviness.
• Maintain accurate records and manage data input in Excel, demonstrating strong attention to detail.
• Undertake research on companies and individuals for conference work, exhibiting strong analytical skills.
• Support other team members with various projects as needed, demonstrating the ability to multitask effectively.• Possess a minimum of 7 years of experience in an Executive Assistant role or similar capacity.
• Proficient in using Cisco Webex Meetings for coordinating and managing virtual meetings.
• Demonstrated ability to use Concur for travel and expense management.
• Experience in using CRM software to manage customer relationships and interactions.
• Knowledge of About Time software for efficient time tracking and management.
• Skilled in Calendar Management across various platforms including Google Calendar, and capable of maintaining and managing multiple calendars.
• Excellent communication skills, both written and verbal, for effective correspondence and conference calls.
• Prior experience in managing correspondence at an executive level.
• Proficiency in Office Suite, particularly PowerPoint for creating effective presentations.
• Previous administrative experience in a fast-paced, dynamic environment.
