We are on the hunt for a meticulous Executive Assistant to become part of our team in the Textile Manufacturing industry, located in Sumter, South Carolina. This role will involve supporting our executive and sales team, handling critical administrative tasks, and managing large events. It offers a contract to hire employment opportunity.
Responsibilities:
• Manage and update complex Excel spreadsheets, including pivot tables.
• Assist in the creation and updating of extensive documentation throughout the year.
• Provide full administrative support to the executive and sales team.
• Organize and manage large events, demonstrating strong multitasking abilities.
• Proactively execute tasks, ensuring all duties are completed in a timely manner.
• Manage calendar appointments efficiently, making use of Microsoft Teams.
• Take detailed and complex notes during meetings and ensure they are organized for easy reference.
• Handle travel arrangements for the team, including booking flights and accommodations.
• Maintain a professional demeanor and dress code at all times.
• Ensure all customer credit applications and records are processed accurately and efficiently.• Proven experience in a similar role such as Executive Assistant, Personal Assistant or similar.
• Proficient in Microsoft Office Suite, particularly Microsoft Excel, with the ability to use advanced features such as Pivot Tables, VLOOKUP, and Excel Formulas.
• Familiarity with ADP - Financial Services for payroll and other financial tasks.
• Experience with Cisco Webex Meetings for managing online meetings and conference calls.
• Knowledge of Concur for travel and expense management.
• Proficiency in CRM software for managing interactions with current and potential clients.
• Experience with Kronos Timekeeping System for workforce management.
• Familiarity with the 'About Time' software for project management.
• Excellent calendar management skills, with the ability to coordinate executive schedules efficiently.
• Strong communication skills, both verbal and written, for handling correspondence and other communications.
• Experience coordinating and handling travel arrangements, including booking and itinerary planning.
• High level of discretion and confidentiality due to the sensitive nature of the role.
• Ability to multitask and prioritize tasks effectively.
• Excellent organizational skills and attention to detail.
• Ability to work independently and with minimal supervision.
• Strong problem-solving skills and the ability to think quickly under pressure.
• Bachelor's degree in Business Administration or a related field is preferred.
• Familiarity with the textile manufacturing industry is a plus.
