We are on the lookout for an Executive Assistant to join our team based in Madison, Connecticut. The role will primarily involve managing executive schedules, organizing meetings, and maintaining customer records. This position offers a short term contract employment opportunity within the Financial Services industry.
Responsibilities:
• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
• Oversee the performance of other clerical and administrative staff.
• Accurately prepare and process financial documents and reports.
• Interact with clients and executives on a daily basis, and schedule meetings as required.
• Handle confidential information in a professional and discreet manner.
• Utilize the Kronos Timekeeping System for tracking and managing employee time.
• Use Cisco Webex Meetings for organizing and conducting virtual meetings.
• Manage customer inquiries and resolve them in a timely and efficient manner.
• Use Concur for tracking expenses and creating expense reports.
• Utilize CRM systems for managing customer relationships and tracking customer interactions.
• Handle correspondence and communication including conference calls.
• Oversee calendar management for executives.• Proven experience as an Executive Assistant or similar administrative role.
• Proficiency in using ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, and Kronos Timekeeping System.
• Familiarity with scheduling tools such as 'About Time'.
• Excellent calendar management skills, with the ability to coordinate complex executive meetings.
• Strong communication skills, both written and verbal.
• Experience in managing conference calls and correspondence.
• High level of discretion and confidentiality.
• Ability to multitask and prioritize tasks.
• Exceptional attention to detail.
• High school diploma or equivalent; a bachelor's degree is a plus.
