Position Title: Membership Manager/Administrative Assistant

Department: Advancement

Reports to: Vice President of Advancement


Job Summary:

The Membership Manager and Advancement Administrative Assistant at Middleton Place Foundation (MPF) plays a key role in supporting the Advancement division and the President/CEO by managing the membership database, overseeing donor and member relations and communications, assisting with fundraising efforts, and coordinating meetings and administrative tasks associated with the Board of Trustees. This position is essential to the growth, recruitment, and retention of the membership program, and requires a detail-oriented individual who can manage administrative tasks, track membership performance, and foster relationships with members and donors.

Qualifications and Skills:

  • Minimum of five years progressively responsible work experience in database management.
  • Experience within a nonprofit organization or a higher education environment preferred.
  • Proficiency in database administration, prospect and constituent management, data imports and exports, report development.
  • Possess excellent analytical, organizational, and communication skills.
  • Must have knowledge of applicable tax laws, the fund-raising process, and the concept of donor relations.
  • Must have a strong customer service orientation.
  • Ability to make presentations and train individuals in software applications is highly desirable. Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.
  • Ability to work cross functionally in a small team-based environment.
  • Ability to build effective working relationships both internally and externally. Diligent work ethic and personal drive and ability to prioritize multiple tasks while working independently.
  • Proficiency with Blackbaud, Altru, and Microsoft Office Suite and supporting technologies.
  • Bachelor's Degree or equivalent experience required with a preference in business, computer science, database administration, or record management.

Position and Hours: This is a full-time position with work hours primarily Monday - Friday, during normal business hours with some evening and weekends required. Middleton Place Foundation will provide medical insurance, life insurance, and retirement in keeping with the package policies of the organization. PTO and holidays will come under the personnel policies of Middleton Place Foundation


This is an exempt position as defined by the Fair Labor Standards Act.

A National Historic Landmark and home to the oldest landscaped gardens in America, Middleton Place is owned and operated by the Middleton Place Foundation. As a 501(c)(3) educational trust, established in 1974, the Foundation’s mission is to connect people with the past, inspiring a deeper understanding of each other through and understanding of our shared American history. Located along the historic Ashley River, Charleston, SC, Middleton Place National Historic Landmark encompasses 110 acres including the Gardens, House Museum, Stableyards, and Eliza's House. Guests to the property can also enjoy the Middleton Place Restaurant, overlooking the Mill Pond and Azalea Hillside, as well as retail shops. The Foundation also operates the circa 1825 Edmonston-Alston House, a house museum located on the harbor in Charleston’s historic High Battery.

The Foundation’s programming focuses on multiple generations of the Middleton family and the enslaved Africans and African Americans who lived and worked here from the early Colonial period through the Revolution, the early Republic (including two Founding Fathers), the Civil War era, and beyond. Annual attendance exceeds 100,000 visitors plus 6,000 students and teachers annually. In 2021, Middleton Place Foundation established the Education Assistance Fund to benefit the Middleton Place African American descendant community. The goal of the educational assistance fund, which awarded ten higher education scholarships this year, is to support the recipients in building a better future through education, recognizing that education is essential for equality, independence, and financial stability.


Requirements:

Key Responsibilities:

-Membership Program Development and Coordination

-Membership Growth: Assist with the recruitment and retention of members by implementing strategies to grow membership participation, enhance
engagement, and increase overall member satisfaction.

-Database Management: Manage the donor and membership database (CRM system) by ensuring accurate data entry, updating member information,
tracking contributions, and generating reports.

-Member Communication: Serve as the primary point of contact for member inquiries, ensuring excellent customer service through email, phone, and
direct mail communications.

-Renewals and Appeals: Coordinate membership renewal processes and appeals, including email reminders, mailings, and follow-ups to ensure
retention and timely renewals.

-Member Engagement: Assist with planning and executing member events, programs, and special offers aimed at increasing member participation and
loyalty.

-Donor Relations and Fundraising Support

-Donor Stewardship: Work with the Vice President of Advancement to maintain donor relations, ensuring that all donors are appropriately
acknowledged, thanked, and kept informed about the impact of their contributions.

-Gift Processing: Process and record all donations, ensuring accurate entry into the database, timely gift acknowledgment, and coordination with the
accounting team for financial reconciliation.

-Campaign Support: Provide administrative support for annual fundraising campaigns, major gifts, and planned giving efforts, including tracking donor
participation, generating solicitation lists, and preparing materials for mailings or events.

-Event Support: Assist with planning and executing fundraising events, member appreciation events, and other special donor gatherings.

-Board Development and Administrative Support

-Board Coordination: Assist in the preparation of materials for Board meetings, including agendas, reports, and presentations. Provide administrative
support to Board committees as needed.

-Board Development: Support the President and CEO and the Vice President of Advancement in Board member cultivation, helping to identify and
recruit potential Board members and track their engagement.

-General Administrative Duties: Provide administrative support for the Vice President of Advancement and President/CEO as needed, including
scheduling meetings, filing, and handling correspondence as assigned.

-Reporting and Analysis: Generate and analyze reports related to membership growth, donor retention, fundraising performance, and other key metrics
to help inform strategic decision-making.

-Database and Data Integrity

-Maintain Data Accuracy: Ensure that all donor and membership data is accurate, current, and complies with organizational policies and best practices
for data management.

-Database Reporting: Regularly create and generate financial and analytical reports for the Advancement team.

-Database Training: Provides training and technical support to staff for the constituent database. This includes developing written training materials and
data policies.
