Administrative Assistant (IA)
POSITION SUMMARY
The Office of Institutional Advancement (IA) at Huston-Tillotson University is looking for a highly organized and detail-oriented Administrative Assistant. The ideal candidate can perform a variety of office support and/or clerical duties for the Vice President of Institutional Advancement and the Office of Institutional Advancement. The administrative assistant directly reports to the Development Operations Manager to execute the following:
TASKS & RESPONSIBILITIES
- Personal computer to enter data, draft, edit, revise, and print letters, reports, and other materials.
- Greeting and directing visitors and routing telephone calls
- Sorting, screening, and distributing mail; drafting or preparing responses to routine inquiries; preparing photocopies and scanning and emailing documents and operating a variety of office equipment.
- Establishing, maintaining, and updating files, records, certificates, and/or other documents.
- Arranging meetings and conferences, scheduling interviews and appointments, and performing other duties related to maintaining one or more individual schedules.
- Makes travel and lodging arrangements, either directly or through travel agencies.
- Tracking, stocking, and distributing office supply inventory
- Assist with planning and logistics of events to support development and fundraising, and alumni affairs.
- Supports internal and external communication on behalf of Institutional Advancement including the development of PowerPoint presentations, social media posts, and campaign publications.
- Perform other job-related duties as assigned
QUALIFICATIONS
- Bachelor's degree preferred, however 4 years of combined college education and work experience may be substituted.
- Website and social media management preferred.
- Event logistics, coordination and planning preferred.
KNOWLEDGE, SKILLS, & ABILITIES
- Ability to work independently and collaboratively as a part of a team.
- Strong verbal and written communication skills and ability to juggle priorities and diverse workload.
- Ability to work in an environment with changing priorities.
- Highly detail oriented, self-disciplined, experienced in multi-tasking and ability to operate with limited direction to resolve issues.
- Ability to draft, proofread and edit documents for spelling, grammar, and punctuation.
- Demonstrates the highest level of maturity, professionalism, and judgment.
- Proven experience and capability with Microsoft Office (Microsoft online/O365 preferred).
SUPERVISION
- This position reports to the Vice President of Institutional Advancement.
SALARY RANGE
- $40,000 - $43,000 Annually, plus benefits!
POSITION STATUS
- Full-time, in-person.

Founded in 1875, Huston-Tillotson University is Austin's first institution of higher education.
