Natives of Kodiak is looking for a Part-time Administrative Clerk to support our office in Kodiak, AK. The Administrative Clerk provides general administrative support and serves as Receptionist. This position serves as the first line of communication between the corporation, the general public and its shareholders. This position will be in the Kodiak, AK Natives of Kodiak office and will be Part-time not to exceed 25 hours per week.

Essential Functions:

  • Responsible for maintaining a professional, neat, clean, organized, and efficient office environment, including responsibility for the upkeep and scheduling of maintenance for office equipment.
  • Responsible for light housekeeping of the office space to include dusting open surfaces; sweeping and mopping floors (damp mops – small areas and hard surface floors); vacuuming around furniture; wiping down counters; washing and putting dishes away; cleaning bathrooms and kitchenette; taking out the trash.
  • Ensures front desk coverage during business hours, greets guests in a professional and appropriate manner, answers and appropriately routes incoming calls, delivers messages to staff.
  • Assists with board meeting preparations, assembling board packets, setup, and cleanup.
  • Assists with annual shareholders meeting; assist shareholders with sign-in, distribute prizes and promotional items, setup, and cleanup.
  • Facilitate incoming and outgoing mail, faxes and packages to appropriate staff including express shipments, certified mail log, courier deliveries, special service shipments and bulk shareholder mailings.
  • Conduct daily walkthrough of the facility to ensure a professional, clean, organized, and efficient office environment; report any deficiencies to supervisor.
  • Maintain conference room schedule, open and setup room.
  • Maintain appropriate inventory levels of all office and facilities supplies in coordination with Executive Secretary.
  • Assist in the planning and logistics for company events.
  • Maintain log of all incoming checks and cash receipts.
  • Assist with maintenance of corporate and shareholder filing systems.
  • Assist with Shareholder Records tasks such as making address and direct deposit changes, responding to verification of income requests from various institutions, and search for missing shareholders when mail is returned.
  • Assists with the administration of the scholarship program.
  • Develop and maintain standard procedures, policies and manuals related to administration of the reception desk.
  • Create and post “closed” signs for main entrance and office door for observed holidays, etc.
  • Performs copying, faxing, and scanning projects as needed.
  • Able to become a Notary Public.
  • Serves as backup to the Executive Secretary when necessary.
  • Prepare coffee and hot water each day, including in preparation of any meetings or events taking place in the offices.
  • Promptly take recycling materials to basement and arrange for Threshold Services pick it up as needed.
  • All other duties as assigned.

Education Requirements:

High school diploma or equivalent is preferred.

Required Qualifications:
  • 1 year of office or clerical experience including light housekeeping.
  • Must be able to manage multiple projects and deadlines with no decrease in productivity.
  • Intermediate experience with MS Office Suite.
  • Excellent interpersonal skills; must be able to work independently and interact effectively with all levels of the organization.
  • Excellent oral and written communications skills.
  • High ethical standards and the ability to maintain confidential information.
  • Excellent organizational skills and detail oriented.
  • Culturally sensitive and able to relate and interact with all Shareholders.
  • Ability to maintain a valid Driver’s License.

Work Environment and Physical Requirements:

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to sit for extended periods of time. The incumbent must occasionally lift and/or move up to 35 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
