Position Purpose:
Under the direction of the Behavioral Health Manager, the Administrative Assistant is responsible for front office duties, including patient registration, financial screening, medical records management, and responding to client inquiries. He/she/they will process all requests for the release of medical information according to federal, state, and facility guidelines in a timely manner. Additionally, the Administrative Assistant will adhere to strict confidentiality guidelines for all requests and act as the primary phone contact for requests for copies of medical and behavioral health records.
Principal Responsibilities:
- Assists clients from diverse cultural backgrounds in understanding the health system in terms of access and limitations to services.
- Maintains communication with clients and the healthcare team.
- Serves as a liaison between clients and the healthcare team.
- Assists clients with the completion of forms.
- Schedules patient appointments by phone or in person.
- Logs patient names in the daily register and records dispositions on the log sheet.
- Ensures that all patients have completed registration, consent for services, and intake records.
- Informs the Clinic Administrator or designated manager of workflow issues occurring in the front office.
- Performs front office duties at other sites as needed.
- Counts and verifies petty cash at the beginning and end of each clinic session.
- Enters patient information into the electronic health record.
- Assists with and manages special projects from initiation to completion as requested.
- Answers phones, greets and assists clients, and performs other customer service-related duties.
- Assists in the coordination of chart reviews/audits.
- Performs other duties as assigned.
Requirements:
- Experience working with clients and staff from diverse socio-economic, ethnic, and cultural backgrounds.
- One year of experience working in a general office environment or medical facility.
- Knowledge of general office procedures.
- Ability to communicate effectively, both orally and in writing.
- Ability to travel between sites.
- Bilingual (English/Spanish) preferred.
- Ability to create and maintain a professional work environment.
