The Sr. Administrative Specialist carries out most departmental purchasing activity and invoice processing for faculty, staff, graduate students and lab coordinators using the TUMarketplace. Processes and follows up on all purchase orders. Obtains quotes from vendors and prepares sole sources. Supports faculty with their PCard transmissions. Pays invoices and processes reimbursements using the Concur system. Responds independently when possible. Required Education & Experience: At least three years of related administrative experience in an academic environment. Experience with formulating queries in query-based systems, for retrieving desired data. An equivalent combination of education and experience may be considered. Required Skills & Abilities: Demonstrated proficiency with MS Office suite and a strong knowledge of Excel. Demonstrated ability to handle multiple tasks with strong attention to detail Excellent customer service, verbal and written communication skills Sound judgement and decision-making ability in complex environments. Must be self-motivated to meet deadlines independently. Strong calendar management skills. Strong work ethic and excellent problem-solving ability. Ability to work effectively in a team environment. Solid interpersonal skills along with the ability to interact with all levels of management, and a diverse population of students, faculty and staff. Ability to work flexible hours nights/weekends/early mornings, if necessary. Ability to travel to off-site locations that may not be accessible via public transportation .
