Position Title: Order Processing Specialist
Reports to: Finance Manager
Location: Kalamazoo, MI
Employment Status: Full-Time
FLSA Status: Non-Exempt
Position Summary: Join the dynamic team at Aldevra in Kalamazoo, MI, as an Order Processing Specialist. This pivotal role supports our core operations by creating sales orders, purchase orders, and managing customer communications for shipment and order status. DUTIES AND RESPONSIBILITIES:
The essential functions include, but are not limited to the following:
- Process contracts and credit card orders accurately and efficiently.
- Generate sales orders that reflect the specifics of customer contracts, orders, or quotes.
- Issue purchase orders to manufacturers and ensure compliance with delivery schedules.
- Provide customers with ship dates and tracking information.
- Respond to customer inquiries regarding the status of their orders with professionalism and care.
- All other duties as assigned.

Requirements
Qualifications:
- Experience with accounting systems such as QuickBooks Desktop and/or NetSuite is preferred.
- Associate's degree in Business Administration, Accounting, or related field preferred; equivalent experience may be considered.
- Capability to identify, analyze, and resolve issues or discrepancies in order processes.
- Strong technological proficiency, particularly with Microsoft Office applications, especially Outlook.
- Ability to analyze and interpret numbers and order details to ensure accuracy and compliance with contracts.
- Commitment to ethical practices and confidentiality, aligning with the company's core values of strong integrity and ethics.
- Ability to follow and adapt to new systems or changes in procedures.
- Valid driver's license
- Excellent written and verbal communication skills to interact effectively with customers, suppliers, and internal teams.
- High level of accuracy and attention to the finer details of order processing and customer communication.
- A strong focus on delivering high-quality customer service, including responsiveness to inquiries and proactive management of customer expectations.
- Capability to work effectively in team settings, contributing to a collaborative and supportive work environment.
- Able to multi-task efficiently and accurately, focusing on quality
Workplace Safety and Environment:
This position is based in an office environment, requiring desk work, computer use, attending meetings, and handling administrative tasks. Approximately 100% of the time will be spent in an office setting.
