Seeking an experienced, dependable, and detailed Contract Administrator to join our team! Responsibilities include:
- NEW CONTRACTS SETUP - Assists with set up of Preventative Maintenance contracts for Waldinger Service per the terms of the agreement. Reviews all submitted set up forms, proposals purchase orders, and must read notes from Business Development. Enters all contract information updates notes, scans contracts into the system, and files folders.
- CONTRACT RENEWAL - Run reports for Services Managers in all regions to identify expiring contracts and send notification letters out to the clients. Keeps a master schedule of all contract expiration dates. Compiles Maintenance Agreement analysis packets for expiring contracts salespeople and monthly reports for sales meetings. Renews Maintenance Agreement contracts in Penta, and updates contract terms after renewal is approved.
- DOCUMENTATION AND RECORD KEEPING - Handles confidential and sensitive information with discretion to maintain accurate and organized records of all invoices, payments, and client interactions. Maintains service agreement files. Updates rates, cost and customer information. Ensures data accuracy, integrity, and easily accessible for audits and reviews.
- OTHER ADMINISTRATIVE SUPPORT- Assists with Business Development requests for ROHP/Schedule Summary Reports. Assign contract sold and verify all PM's entered are coded to the appropriate BD in PENTA. Puts together estimates and proposals for In-house clients. Prepare other sales-related materials as requested.
- CONTRACT COMPLIANCE - Read and familiarize customer contracts. Audit billings to ensure contract compliance with invoicing requirements. Establish a regular cadence and process for auditing.
- CLIENT SERVICE - Assists clients with contract questions. Maintains good customer relations and provides clear communication to all external and internal customers.
Job Requirements:
- Administrative and billing experience with strong attention to detail
- Good organization skills and the ability to multi-task
- Solid computer skills
- Ability to interact with customers and co-workers professionally
- HVAC and/or service department experience preferred
- Associates Degree preferred
