Our client, is seeking an Executive Administrative Assistant to join their team. As an Executive Administrative Assistant, you will be part of the HR department supporting the Latin America Leadership team. The ideal candidate will have exceptional project management and event planning skills, strong experience in planning international travel, and excellent communication skills in English and Spanish, which will align successfully in the organization.

What's the Job?

Provide proactive and confidential support to the Latin America Leadership team while managing a variety of administrative tasks in a fast-paced environment.

Perform high level executive and operational support while exercising independent judgement based on analysis and experience.

Manage and maintain extremely active calendars; schedules meetings, conferences, and appointments; manages conflicts and adjusts to changes in a fast-paced environment.

Initiate processes and practices to improve executive office effectiveness.

Assist in the planning, execution, and monitoring of projects, ensuring they are completed on time and within scope.

Plan and execute company events, meetings, and conferences, both on-site and off-site.

Coordinate logistics, including venue selection, catering, transportation, and accommodations.

Manage event budgets, negotiate contracts with vendors, and ensure all event details are executed flawlessly.

Coordinate complex and detailed travel arrangements which can include domestic and international airfare, hotel, and ground transportation.

Create and maintain expense reports with proper backup. Follow-up on dates of when payments will be received and reconcile credit card statement.

Provide administrative support such as correspondence, translations, emails, presentations, etc.

What's Needed?

Bachelor’s Degree

Experience with Latin America and working with high level executives.

Excellent written and oral communication skills in English and Spanish.

Exceptional project management and event planning skills, ensuring seamless operations and successful execution of various initiatives.

Strong experience in planning international travel required.

Strong computer proficiency including MS Outlook, Word, and Excel

Strong proficiency in PowerPoint to include development and modification of presentations.

Highly organized with a great attention to detail and accuracy

Exceptional interpersonal and communication skills in a global environment

Strong problem analysis and problems solving skills with a proactive approach
