Document Control Specialist - Portal North Bridge Project

is looking for a reliable, qualified individual to join our company as a Document Control Specialist to support the project.
Project Background:
NJ TRANSIT and Amtrak are replacing the 112-year old Portal Bridge over the Hackensack River in New Jersey with a modern, high-level fixed span that will rise more than 50-feet over the river. Portal North Bridge is an important element of the broader Gateway Program to double rail capacity between Newark and New York.
General Scope of Work:
As part of our team, you will maintain the storage, organization, and disbursal of records and documentation, observing legal guidelines and best practices. The successful candidates will administer the data management processes of our centralized library, respond to requests for information (RFIs), Submittals, Correspondence, Request of Clarifications, Notice of Proposed Changes and verify document completeness and format requirements. This position is critical to smooth operations within our project infrastructure. Ideal candidates have considerable professional experience in a similar role and possess impeccable attention to detail with strong computer and data entry skills.
Duties and Responsibilities:
Selected candidate shall, at a minimum, perform the following services: Update and maintain centralized library of data and records, ensuring secure processes and limited access. Administer information retrieval and disbursement processes, observing all legal regulations regarding restricted information. Respond to Requests for Information (RFIs), Submittals, Correspondence, Request of Clarifications, Notice of Proposed Changes information in a timely manner. Quality control to verify completeness and accuracy of stored documentation, as well as appropriate file formatting. Retrieval of files for stakeholders when needed. Attend meetings as needed Prepare status reports from the system. This is a hybrid position reporting into PACO Group's Office in New York, NY for 2 days and 3 days remote working from home. Skill/Knowledge Requirements:
Proven ability to manage multiple projects simultaneously and effectively, utilizing limited resources to achieve complex goals; Demonstrated customer service, decision-making, problem solving, negotiations and interpersonal skills; Proven skills at effective communication both at the interpersonal and group level; and Proven ability to work effectively within groups and to complete assigned tasks independently. Public sector Agency experience in engineering, transportation and construction a big plus. Required Qualifications:
Bachelor's degree in engineering, accounting, economics, business administration or a related field. Minimum 1-4 years prior experience with data and/or document management. Experience on projects in transportation, engineering and construction industries a plus. Computer proficiency and data entry skills Proficiency in the use of standard Microsoft Office products. Prior experience with SharePoint, Open Text, Procore, Contract Manager or equivalent document control systems.
