A Japanese real estate company/developer is expanding their business newly to the US, and looking for a

Community Coordinator

for their newly developed co-working office building in Palo Alto, CA.

TITLE: Project Admin Assistant/Community Coordinator, Startup incubation center

LANGUAGE; English - Japanese bilingual (Business level)

STATUS: Temp to Perm, Full-Time

LOCATION: Palo Alto

WAGE: $63,000.00 - $72,800.00 depending on experience

HORK STYLE: Office work (no remote work is available)

WORK HOUR:8h between 8:00 am - 6:00 pm, *occasionally till 7:00 pm, *lunch break unpaid

Must Have:

Business-level proficiency in both English and Japanese. (Usage scenarios: Communicating with member companies in Japanese, gathering information, and disseminating information in English on social media.) 5-8 years of professional experience. (Candidates with more experience may be considered, but those needing basic business etiquette training are not ideal.) A proactive mindset with the ability to take initiative rather than waiting for instructions. (A strong sense of hospitality is essential.) Flexibility and adaptability to perform tasks outside of a strict job description. Nice to Have:

A network with U.S. universities and students. Experience in PR or corporate public relations activities. Summary:

This position is responsible for assisting the administration in operating the Incubation center for startups commissioned by Japan's Ministry of Economy, Trade and Industry (METI).

In addition to the management of the co-working space, the company will hold events and exhibitions in the facility, provide support for networking among members of this facility and a variety of support services.

It is estimated that many other inspection visitors from Japan. The Japanese government's human resources dispatch program is scheduled to send about 100 people from Japan to this center for training every year.

Responsibilities:

Community Management

Updating our SNS, websites, etc. operated. Providing support to tenant companies ( including explaining facility usage guidelines and addressing inquiries, provision of information, etc.). Support for facility users and assistance with registration for use of the facility. Liaison and correspondence (e-mail, phone calls, etc.) with the tenant companies and facility user (member) Collect and share information on meet-ups, events, etc. that facility users would like to participate in.

Facilities and Space Management

• Coordinate and arrange with suppliers and vendors for supplies and equipment needed to operate the facility. • Management of facility equipment, IT devices, etc., and requesting repairs in case of malfunctions. • Assist in setting up and running events at the facility, arrange catering, etc. • Contacting, responding to, and making appointments (via e-mail, telephone, etc.) with related parties in the implementation of our facility. • Administrative work related to our facility, progress and schedule management.

Other & Miscellaneous

Attendance at various in-person and out-person meetings (face-to-face or online), participation in discussions, and preparation of minutes. Assist in the preparation of various reports for the current fiscal year. Creation, editing, and management of various documents (Word, Excel, PowerPoint, etc.) associated with all of the above tasks. Manage agendas, travel plans and appointments for upper management. Manage emails, letters, packages, phone calls and other forms of correspondence. Support bookkeeping and budgeting procedures for the company. Create and update databases and records for financial information, personnel and other data. Performs special projects and other miscellaneous duties as assigned by the Management. Reports to work daily (M-F) based on company schedule and complies with all company policies and procedures. Maintains high ethical standards in the workplace. Maintains good communication with the Management, staff members, and outside contracts. Reports all irregular issues and problems to the Management for solutions. Responsible for maintaining a clean and safe working area.

Qualifications:

Comfortable working in an all-hands start-up environment. Ability to work in a group to achieve a common goal; respects different work and communication styles; Is flexible, tactful, understanding, and helpful concerning other team members. Understanding Japanese government customs and practices. Excellent communication, interpersonal and presentation skills. Ability to engage in proactive conversations with facility users and participants of events held at the facility. Highly Ethics/Business Compliance. Ability to take initiative and manage the work appropriately while consulting with those who give instructions and orders. Actively learning the knowledge required for the job. Understanding the differences in business practices between Japan and the U.S. Ability to multitask and possess practical time management skills. Ability to provide accurate data and reports with few mistakes. Low error rate.
