Our projects range in scope from large-scale new construction to complete tear-offs, re-roofing and renovations of existing building exteriors, and on-going roof maintenance, inspection, and repairs of all major commercial roof systems
Position Overview: The Commercial Construction Project Administrator will play a crucial role in assisting the Project Manager with various administrative tasks related to project execution. This position requires exceptional organizational skills, strong communication abilities, and a thorough understanding of the construction process. The ideal candidate will be proactive, detail-oriented, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Reporting and Documentation:
Assist in the preparation of project reports, status updates, and presentations for stakeholders. Maintain accurate and up-to-date project documentation, including contracts, change orders, and meeting minutes. Support the Project Manager in tracking project milestones, deliverables, and timelines. Managed office paperwork, including scanning documents and routing business correspondence. Reviewed documents and obtained additional information to complete accurate paperwork and avoid delays. Project Support:
Assemble comprehensive project packages for review and approval, including contracts, plans, and schedules. Organize and maintain project documentation in an accessible manner Process and track change orders, ensuring all necessary documentation is completed and submitted on time. Maintain accurate records of change orders and related correspondence. Coordinate equipment delivery schedules with suppliers and subcontractors. Assist in the setup and installation of equipment at project sites, ensuring compliance with safety regulations. Manage the warranty process, ensuring all documentation is completed and submitted in a timely manner. Assist with the preparation and submission of permit applications to local authorities, ensuring compliance with regulations and deadlines. Coordinate with inspectors and other regulatory agencies as needed. Prepare and submit RFIs as needed, facilitating clear communication between contractors, architects, and project managers. Track RFI responses and document findings for project records. Reporting:
Compile and distribute daily reports summarizing project progress, challenges, and updates. Ensure all team members contribute relevant information for accurate reporting. Assist in tracking project budgets, expenses, and forecasts. Support the processing of invoices and payment requests in accordance with company policies Communication and Coordination:
Provide direction/assistance for any problems or questions that may arise with customers, management, construction and outside vendors. Act as a liaison between the Project Manager, subcontractors, suppliers, and other stakeholders to facilitate smooth project execution. Organize and schedule project meetings, including preparing agendas and taking minutes. Respond to inquiries and provide support to team members as needed. Qualifications:
High School Diploma or equivalent. Bachelor's degree in Construction Management, Business Administration, or a related field preferred. 2+ years of experience in construction administration or project management support, preferably in commercial construction. Ability to read blueprints is preferred, not required. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Procore, MS Project). Strong organizational skills with a keen attention to detail. Excellent verbal and written communication skills. Ability to work effectively both independently and as part of a team. Knowledge of construction processes, terminology, and industry standards. Benefits
