Indian Wells Golf Resort is excited to announce the exceptional career opportunity of Administrative Assistant. Culinary Administrative Assistant typically supports the administrative and operational aspects of culinary and Front of House organization. Their role is to ensure smooth day to day operations by handling a variety of admin-related tasks. Coordinates with staff and assists in managing food service activities.
$20.00 - $22.00 per hour
Key Responsibilities :
Administrative Support: Performs various administrative duties for the department managers such as building a shared meeting calendar, arranging conference calls, scheduling meetings, handling information requests. Performs clerical duties including typing, copying, and taking minutes at meetings for both Front of House and Back of House. Orients visitors to the department and/or facility. Distributes daily mail and maintains filing system to include databases. Updates all new menu recipes with proper pars. Prepares recipe costing sheets in BirchStreet. Assists with month end close, review and print reports for both Front of House and Back of House. Assists with EOM Inventory counts and imports all inventory sheets into appropriate spreadsheets. Completes special projects and related duties shared by both Front of the House and Back of the House as assigned by department manager. Develops and maintains current office procedures for both Front of House and Back of House. Updates menu folder for Recipes and Pictures as menu continues to evolve. Works with managers on coding of invoices to separate out departmental Food costs according to budget. Assists with managing the scheduling of all staff members for both Front of House and Back of House. Organizing schedules, keeping track of employees' hours and recording payroll data while ensuring accuracy for both Front of House and Back of House. Updates all Employee timecards to include missed punches and meal breaks. Works with Managers to update existing and write new SOP's. Performs other duties as required. Regular and reliable attendance. Collaboration & Communication: Act as a liaison between the culinary team and other departments (e.g., front-of-house, sales, administration). Assist in coordinating staff meetings and internal communications. Support the chef or culinary manager with daily operations and special projects. Assist in ensuring the kitchen and staff comply with local health, safety, and food handling regulations. Help maintain health and safety records, including sanitation logs. Monitor expiration dates of food items and assist in ensuring all items are safely stored. Creates and orders uniforms for all Food and Beverage staff and issues them accordingly. Minimum Qualifications for the Administrative Assistant:
Associate degree and one to two years of administrative experience; or equivalent combination of education and experience. Other Qualifications:
Regular and reliable attendance. Intermediate to advanced computer skills including, but not limited to, use of Microsoft Word and Excel strongly preferred. Ability to work independently with little or no supervision. Ability to communicate verbally and in writing. Ability to compose letters and to facilitate phone calls and general inquiries sensibly.
