Position: Accounting Specialist

Position Level: Associate

Department: Finance

Reports to: Accounting Manager

Other: Full-time, non-exempt, benefit-eligible position

Position Summary:

The Accounting Specialist will analyze information, maintain complete and accurate records, conduct accounting duties related to accounts payable, accounts receivable and general ledger to support the timely and accurate financial reporting requirements of the organization.

Duties/Responsibilities include but are not limited to:

  • Using Sage Intacct accounting system, process purchase orders, accounts payable, accounts receivable, and general ledger as assigned
  • Support the procurement process as needed
  • Process and record incoming payments by check, credit card, stock and EFT
  • Assist with Bank Statement Reconciliations as needed
  • Ensure compliance with purchasing card policy, including collection of purchase receipts
  • Monthly Reconciliation of corporate Purchasing Card account
  • Prepare monthly account reconciliation schedules as assigned
  • Generate and review monthly reports as assigned
  • Prepare and make bank deposits
  • Assist with preparation for annual audits
  • Prepare and distribute annual 1099 forms
  • Ensure compliance with internal accounting procedures
  • Maintain accurate records, including ledgers, journals, receipts, and invoices
  • Maintain accurate and complete vendor files, including vendor setup, collection of W9 Forms, certificates of insurance and targeted business enterprise certifications.
  • Provide training and support to team members related to the accounting system
  • Perform administrative and other support tasks as needed.

Preferred Education and Experience:
  • Bachelor’s degree in accounting and/or equivalent work experience and relevant certifications strongly preferred
  • Three years or more of related experience; non-profit accounting experience preferred.
  • Proficient in accounting software, preferably QuickBooks, Sage Intacct and Bill.com.
  • Advanced Microsoft Excel skills.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
