POSITION FUNCTIONS:

Performs routine clerical and administrative tasks in various departments that report to the Administrative Director.

MAJOR DUTIES AND RESPONSIBILITIES:

  • Assists the Administrative Director and multiple administrative departments, including Property, Procurement, Finance, Food service, and Transportation.
  • Serves as the primary backup person for property-related tasks.
  • Maintains a log of all packages shipped and received.
  • Prepares shipments, sorts packages, and accepts deliveries.
  • Prepares shipping documents and mailing labels and fills orders.
  • Assists with end of the month inventory closeout.
  • Enters requisitions into Cost Point in a timely manner.
  • Type’s business letters, memorandums, meeting minutes and process department reports.
  • Maintains calendar and schedules appointments; sends/receives incoming and outgoing mail and faxes; and follow-ups on dates for action items.
  • Orders and maintains office supplies and equipment.
  • Occasionally provides assistance to the food service department.
  • Various clerical duties within the administrative department.

SKILLS/COMPETENCIES:

  • Meticulous documentation/recording skills and attention to detail; excellent time management and organizational skills
  • Excellent customer service skills
  • Proficient in the use of computer software such as Microsoft Word, Excel, Outlook, etc.
  • Ability to operate office equipment
  • Knowledge of and ability to use computerized purchasing systems
  • Proven experience in inventory and materials control procedures.
  • Demonstrated ability to communicate effectively verbally and in writing

EDUCATIONAL EXPEREINCES AND REQUIREMENTS:

  • High School Diploma or equivalent
  • One year wok related experience
  • Must possess a valid driver’s license with an acceptable driving record

PHYSICAL ACTIVITIES:

This position requires the ability to:

  • Lift up to 50lbs
  • Sitting, standing, moving about or walking for occasional or frequent periods of time, stooping, standing, bending, climbing stairs
  • Reading, writing and communicating fluently in English
  • Hearing and speaking to express ideas and/or exchange information in person or over the telephone
  • Seeing to read labels, posters, documents, PC screens, etc.
  • Dexterity of hands and fingers to operate a computer keyboard and other office equipment
  • Kneeling, bending at the waist, stooping and reaching overhead
  • Retrieving and storing files and supplies; occasionally carrying and/or lifting light objects
