Summary of Position: The Office Manager primarily supports the Division of Pre-licensure Nursing program and other programs housed in the suite. This individual works with the Chair, faculty and other program staff members to provide students with a positive and safe learning environment.
Duties and Responsibilities
- Manage daily operations of the offices for physical therapy, occupational therapy, and pre-licensure nursing programs
- Supervise, train, interview and mentor 8-10 student office assistants
- Assist the IWU Office of Admissions in processing prospective students for the Pre-licensure Nursing programs with direction from the nursing leadership
- Coordinate visit days for Spotlight on Nursing recruitment days, schedule prospective Nursing students to meet with nursing faculty, visits in the classroom, and tour the Nursing Simulation Lab
- Serve as a point of contact, warmly greeting students and visitors entering 5th floor office suite and directing them where they need to go
- Proactively assist faculty and students in the suite in a friendly, supportive manner
- Provide support including scheduling rooms, recording minutes, copying, scanning, maintaining scantron equipment and procedures, scheduling appointments, ordering supplies, preparing correspondence, processing incoming and outgoing phone calls, and other related miscellaneous office duties
- Submit work orders to the IWU Facilities Services
- Responsible for a procurement credit card and reconciling monthly transactions
- Organize and direct the White Coat Ceremony and Pinning Ceremony for Pre-licensure Nursing and other events highlighting the division
- Prepare documentation for students to submit state licensure application requirements
- Assume additional office duties and special projects as assigned
Education
- Bachelors degree preferred
- Five (5) years in a related position
- Demonstrates the ability to work effectively with individuals from diverse communities and cultures
- Organized and efficient
- Knowledge of computer and office machine use
- Professionalism and respectful communication skills
- Ability to handle confidential information
- Accuracy and attention to detail
- Appropriate written, verbal and interpersonal communication skills
- Interpersonal skills for relating effectively with employees throughout the university as well as external guests, families and students
- Problem-solving skills
- Self-starter; Must work well with little or no supervision
