This role involves overseeing the entire process from planning to execution, ensuring exceptional customer service and effective budget management.
Primary Responsibilities: Program Planning and Execution (40%) Outline deliverables for pharmaceutical internal sales meetings.
Complete project timelines and budgets.
Manage supplier relationships, contracts, and logistics.
Coordinate site inspections and communicate registration needs.
Provide clear direction to the project team.
Financial Management (20%) Monitor project expenses and budgets.
Forecast revenue and update financial systems.
Negotiate pricing and contract terms with suppliers.
Manage client invoices and project change orders.
Ensure programs meet profitability targets.
Client Communication (20%) Serve as the primary contact for day-to-day client interactions.
Maintain open communication with clients and internal teams.
Oversee project teams and ensure quality deliverables.
Conduct regular status meetings with clients and stakeholders.
Onsite Leadership (20%) Provide onsite support to clients and suppliers.
Anticipate and resolve challenges.
Manage VIP projects and logistics.
Develop proposals and budgets for renewal business.
Qualifications Bachelor's degree or equivalent experience.
1-3+ years in pharmaceutical meeting/event planning or hotel catering/convention experience.
Experience with CVENT required.
HCP pharmaceutical meeting experience preferred.
HMCC or CMP certification preferred.
Strong knowledge of event management and budget maintenance.
Excellent communication and presentation skills.
Ability to handle multiple projects and demands.
Proficiency in Microsoft Office and quick to learn new technology.
Ability to travel 30% of the time.
