The Administrative Manager II will be responsible for the planning, coordination, and implementation of key administrative functions in support of faculty and staff in the Clinical Research Division (CRD). The position is responsible for assisting the Associate Vice President (AVP), Division Operations, in operating needs associated with research administration, finance, faculty support, communication, human resources, and supporting division events, projects, activities and recruitment. In addition, the position supports general administrative needs of the Division and AVP, such as special project support, events and meetings, financial analysis and management, and other tasks as needed. The position will report to the CRD Associate Vice President (AVP), with indirect reporting to the Associate Operations Director (AOD), any faculty the position provides support to. Once the incumbent has become familiar with the scope of responsibilities, an independent and problem-solving approach to a diverse scope of tasks is expected.

This role will have the opportunity to work partially at our campus and remotely.

Responsibilities

The Administrative Manager will work independently under the direction of the CRD AVP and AOD. This position will be responsible for providing high-level administrative support to the Division.

This position exercises sound judgment and discretion in interpreting and implementing department, program, and Fred Hutch policies and procedures within existing frameworks. The incumbent will work closely and collaboratively with the CRD leadership, faculty and staff, on various projects and functions. Responsibilities for this role will include:

    Serve as project manager for special projects as assigned in the CRD. Monitor project activities, ensure objectives have been met within designated timeframe, and coordinate follow-up actions. Has responsibility for independently managing all aspects of project/program administrative operations.
  • Support the Associate Operations Director (AOD) with high level program research administration and grant preparation activities of multi-million-dollar budgets.
  • Independently conduct financial analysis and leadership as needed for various projects and programs within the Division.
  • Provide back up staffing support as needed when key positions are out of office or on extended leaves of absence. Be prepared to learn each staff's responsibilities and cover as needed.
  • Develop a working knowledge of key faculty and staff within the Program to facilitate effective and independent communication, and administration. This will require attendance of selected faculty and staff meetings within the division, in addition to interviewing all faculty and staff within the division to better understand the programs of the CRD.
  • Assist in recruitment activities, as requested. This may involve scheduling interviews, coordinating with hiring committees, and preparing documents for approval, in addition to communicating with applicants.
  • Develop and administer policies and procedures related to program operation and administration.
  • Provide project management related support as needed in support of program needs.
  • Serve as a team player in all activities, which involves a great deal of collaboration, communication and dedication to achieving the division's collective goals. This also involves coverage for team members while they are out of office or if duties need to shift due to changing workloads.
  • Perform other duties as required.


Qualifications

MINIMUM QUALIFICATIONS:

  • Requires Bachelor's Degree and five years of administrative management or relevant experience OR equivalent education/experience.

PREFERRED QUALIFICATIONS:

  • Minimum of 10+ years' complex administrative experience.
  • Advanced proficiency in Microsoft Office Suite, MS Teams, Office 365, and Adobe Acrobat on various platforms.
  • Experience with financial analysis and simple data management techniques
  • Experience with organizing virtual meeting platforms, such as Zoom and MS Teams.
  • Comfortable with learning new technologies to develop proficiency in desktop systems/internal software necessary to successfully perform assigned tasks.
  • Organization and strong attention to detail and quality of work.
  • Experience in meeting coordination, scheduling, and planning
  • Ability to identify and take advantage of new opportunities, best practices, and build strong partnerships.
  • Ability to work independently, prioritize effectively, proactively plan, problem-solve and meet goals in a deadline-driven environment.
  • Interest in and passion for supporting the mission of Fred Hutch Cancer Center Clinical Research Division's vision: To achieve life uninhibited by cancer and other diseases through seamless integration of research and clinical care

The annual base salary range for this position is from $82,846 to $124,238, and pay offered will be based on experience and qualifications.
