Position Summary Under supervision of the General Manager, the Director of Events and Production will manage every aspect of events from the advance planning stages through the end of the event; hire, train and assign events to event manager(s) and production manager(s); work with all Mayo Civic Center departments and interact with local public safety officials to ensure events run smoothly; coordinate communication between event planners and MCC staff; be responsible for and ensure overall customer and licensee satisfaction and experience; develop and foster relationship with all third party event producers.

This role pays a yearly wage of $85,000 to $100,000

Responsibilities

Advance, plan, service, and supervise all events by using effective written and verbal communication with event promoters, production managers and Mayo Civic Center departments including third-party contractors.

Plan, direct and evaluate the work of reporting event manager(s). Showcase leadership in the event department and assist event managers in training, advancing and executing events.

Lead weekly production meetings to communicate important event information with all

Write production notes detailing every aspect of the upcoming event for all departments, internal and external, to understand the full scope of event, assist in determining staffing needs.

Use of interpersonal skills including, but not limited to ability to direct, motivate, inform staff, foster collaboration, ability to recognize and resolve conflicts, and ability to openly communicate verbally and in writing with clients and co-workers.

Analyze challenges, identify alternative solutions, and project consequences of proposed actions and implement recommendations in support of organizational objectives.

Establish and maintain effective working relationships with lessees/clients, co-workers, part-time staff, contractors, patrons/public and municipal officials

Work a flexible schedule, including long nights, early mornings, weekends & holidays as needed

Assist other departments in the preparation of building to meet the requirements of upcoming events.

Manage the reporting and provide oversight of all reimbursable event expenses and staffing estimates from each department to produce a pre-event event estimate to finance.

Assist booking team with all event estimation needs.

Provide detail information and backup for all event expenses and assist with the completion of post-show event settlements

Advise licensees on services available from independent contractors for events

Function as a liaison between users of the facility and the facility staff.

Recommend and evaluate required event staffing levels

Coordinate communication with box office, booking and marketing team on event announcements and on-sales with respect to floor plan creation and approvals.

Coordinate communication between building staff and show staff during load in and load out

Investigate and resolve event-related complaints in a professional manner ensuring customer satisfaction

Communicate with municipal officials, including police, fire and medical services, event staff and public to ensure security of patrons and events run smoothly

Coordinate service needs with Food and Beverage provider & make hospitality arrangements as needed

Manage internal and third party event and building-related staffing, including security and stagehands.

Serve as Executive on Duty as assigned by the General Manager.

Qualifications The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities:

5-7 years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting

Bachelor’s degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related field

Demonstrated experience working with various concert promoters, sporting teams, and special event meeting planners

Demonstrated experience working with production managers on lighting, AV, stagehand labor calls, major event load-ins/loadouts

Experience with AutoCAD is required

Strong oral and written communication skills

Strong computer skills in Microsoft Office applications, word processing, and Internet

Possession of, or ability to obtain, a valid drivers’ license

Knowledge of operational characteristics of events

Experience working with various collegiate and/or professional sporting teams.

Ability to identify the needs of users of the facility

Knowledge of crowd management and control techniques

Knowledge of customer service practices

Demonstrated familiarity with facility use contracts

Knowledge of fire and public safety regulations

Knowledge of A/V equipment and electronic systems in public assembly facilities

Experience with budget preparation and control

Familiarity with terminology used in entertainment/convention/public assembly settings

Ability to work independently, exercising judgment and initiative

The ability to work effectively with people from a variety of culturally diverse backgrounds

The ability to perform physical tasks such as lifting and carrying up to 50 pounds

Ability to work, nights, weekends and holidays as needed

Effectively work under pressure and meet tight deadlines in a fast-paced environment

Ability to communicate with employees, co-workers, volunteers, management staff and guests in a clear, professional and courteous manner which fosters a positive, enthusiastic and cooperative work environment

Ability to speak, read, and write in English
