Dentons US LLP is recruiting for a Benefits Coordinator to reside in our Chicago office. This position reports to and will assist the Manager, Benefits. This is a hybrid position.
Responsibilities
Process complicated monthly benefit invoices and audit vendor reports for accuracy.
Interpret and clearly understand all benefits and LOA procedures and policies and effectively explain leave entitlements and procedures to individuals at all levels within the organization.
Administer leaves of absence, coordinate with external STD/LTD vendors and ensure compliance with federal and state laws.
Review requests for job accommodations related to the ADA, conducting an interactive process and involving internal stakeholders as needed.
Work with Benefits Manager, Sr. Manager HR Operations, HRBP and legal counsel for guidance on complex LOA matters and ADA accommodation requests.
Audit leave of absence pay reports regularly and act as back-up for leave of absence pay calculations.
Conduct new hire benefits orientation.
Retiree benefits administration.
Evidence of insurability administration.
Coordinate and schedule benefits and wellness program events.
Assist other team members with monitoring the department phone and email inboxes.
Create and maintain business process documentation.
Assist and support all offices with Workers' Compensation communications, claims and reporting.
Process life insurance claims for deceased employees/partners.
Assist department manager with ad hoc projects in the areas of benefit administration, employee relations and secondment/immigration.
Maintain vendor relationships and have in-depth knowledge of their processes and online functionality.
Assist with all nuances of benefit enrollments, changes and terminations.
Respond to surveys accurately.
Be proficient in Benefitfocus including the ability to create and edit reports, as well as navigate around within the program and recommend areas for improvement.
Manage content in Benefitfocus, the Firm’s benefits portal.
Maintain, update and distribute benefits materials across all offices.
Maintain employee benefits files.
Provide back up support to Benefits team members as needed.
Assist the HR Department in special projects and areas of need.
Other duties as assigned to fully meet with requirements of this position.
Experience & Qualifications
Experience in a law firm or other professional services environment preferred.
2-4 years of benefits experience.
1-2 years of leave of absence administration experience.
Knowledge in the areas of: ERISA, COBRA, HIPAA, FMLA, ADA and other similar state specific leave laws.
Excellent written and verbal communication skills required.
Strong attention to details and superior multi-tasking skills.
Ability to work effectively and in a sometimes stressful environment.
Energetic, self-motivated, and results-oriented.
Understands and demonstrates discretion and confidentiality. Ability to sensitively and thoughtfully respond to partner and employee benefits inquiries.
Experience with HRIS benefits administration, experience with Benefitfocus a plus.
Proficient with MS Office products, particularly Excel.
Flexibility to work overtime as needed.
