As the Operations Administrative Assistant at Riverside Services, you'll play a vital part in the daily operations of our Accounting, HR/Payroll, and Office Admin departments. You'll be supporting our Office and Finance Manager, ensuring everything runs smoothly and efficiently.
What Your Day Will Look Like:
Support the daily operations of the accounting department with:
- Processing and verifying customer invoices with precision.
- Handling customer payments and ensuring everything is accurate.
- Playing an important role in the collection of past-due accounts.
- Serving as a backup to the Accounts Payable Admin, stepping in during time off.
- Facilitating the admin process for new hires, ensuring a smooth onboarding experience.
- Ensuring all employee records are accurately captured, maintained, and updated in the ADP Payroll System and Aspire System.
- Managing payroll-related tasks like e-verify, background checks, and scheduling DOT tests.
- Tracking employee time off and handling any payroll-related queries.
- Assisting with the annual ACA filing.
- Verifying and updating contacts, properties, and other details in the Aspire System.
- Managing the submittal of Landscape Development contract waivers and close-out documents.
- Assisting with general office duties, such as answering phones and filing, to keep everything running smoothly.
- A bachelor's degree is strongly preferred, but we will also consider successful experience in an Accounting/Payroll/HR environment.
- You have a knack for identifying and resolving problems quickly and effectively.
- Your verbal and written communication skills are excellent, and you have an eye for detail when it comes to data entry and validation.
- You're adaptable, able to prioritize tasks, and manage competing demands with ease.
- You have experience working with ADP, Aspire, and Acumatica.
- Your skills with MS Office applications (Word, Excel, PowerPoint, and Outlook) are strong and reliable.
