We are offering a contract for a permanent position as an Executive Assistant in Columbus, Ohio. In this role, you will be facilitating the smooth operation of our executive's schedule and performing various administrative tasks to assist our team.
Responsibilities:
• Managing the intricate calendar of the executive director, which includes scheduling appointments, meetings, and events.
• Serving as an intermediary between the Executive Director and various stakeholders, including the board of directors, senior management, and staff.
• Conducting routine office tasks such as filing, faxing, and generating spreadsheets.
• Planning and coordinating travel logistics, including accommodations, transportation, and meals.
• Assisting with special projects and helping the Executive Director resolve pressing issues.
• Creating, compiling, and distributing documents, reports, and presentations.
• Drafting and preparing correspondence, including emails and traditional mail.
• Processing expense and mileage reports.
• Maintaining confidentiality and discretion when dealing with sensitive information.• Minimum of three years experience in an executive assistant role or similar position.
• Proficiency in CRM software for record keeping and management.
• Excellent calendar management skills, with the ability to schedule and coordinate meetings.
• Strong communication skills, both written and verbal, for effective correspondence and conference calls.
• Experience in organizing executive meetings and distributing meeting minutes.
• Proficiency in Microsoft Excel for data management and reporting.
• Ability to book and arrange travel arrangements, including coordinating complex itineraries.
• Experience in compiling and formatting documents for detail oriented use.
• Ability to manage and prepare detailed expense reports.
• Ability to distribute reports to relevant stakeholders in a timely manner.
• Skills in creating engaging and detail oriented presentations.
• Experience in managing special projects, including planning, coordination, and execution.
• Ability to handle confidential documents with utmost discretion and confidentiality.
