Recognizing the unique challenges faced by Black individuals, Desmond Yanamayu, LISW-S, founded The Black Mental Health Corporation to create a space where culturally specific lived experiences are understood and honored. Initially established as a therapeutic outpatient group practice focused on serving the Black community, TBMHC has since expanded into a comprehensive community-based agency. Today, we proudly provide a range of services, including psychotherapy, psychiatry, medication management, social support services, and therapeutic school-based programs. While we specialize in addressing the mental health needs of the Black community, our services are inclusive and open to individuals from all racial and ethnic backgrounds.

Job Overview: We are seeking a highly organized, highly motivated, friendly, detail-oriented individual to join our mental healthcare team as a Clinical Administrative Assistant. The ideal candidate will be responsible for providing administrative support to healthcare professionals and ensuring the smooth operation of the mental healthcare office.

Responsibilities:

 

Clinical Administrative Assistant reports directly to the Practice Manager.

  • He or She will assist the management team in company wide initiatives and serve as an assistant to the Practice Manager.

Patient Reception:

  • Greet and welcome patients in a professional and friendly manner.
  • Register new patients, update existing patient information, and verify insurance details.
  • Schedule appointments and manage the appointment calendar efficiently.
  • Administrative Support:
  • Perform general clerical duties, including photocopying, faxing, filing, and data entry.
  • Answer phone calls, take messages, and direct inquiries to the appropriate personnel.
  • Handle and process medical records with utmost confidentiality.
  • Adhere to all relevant healthcare regulations and maintain compliance with established policies and procedures.
  • Assist in maintaining and updating office manuals, policies, and procedures.
  • Insurance Verification:
  • Verify patients' insurance information and ensure accurate billing.
  • Assist patients in understanding their insurance coverage and coordinate pre-authorizations when necessary.
  • Billing and Coding Assistance:
  • Assist in medical coding and billing procedures.
  • Collaborate with billing department to resolve any discrepancies or issues.
  • Electronic Health Records (EHR):
  • Proficiently navigate and update electronic health records.
  • Ensure accurate and up-to-date documentation of patient information.
  • Appointment Coordination:
  • Coordinate and confirm patient appointments.
  • Manage appointment cancellations or rescheduling as needed.
  • Communication Liaison:
  • Facilitate communication between healthcare providers, patients, and other staff members.
  • Relay important messages and information promptly.
  • Maintain Clean and Organized Workspace:
  • Ensure the reception area and administrative spaces are organized and presentable.
  • Manage and order office supplies as needed.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; BA degree or higher preferred. Additional education or certification in healthcare administration is a plus.
  • Proven experience as a medical secretary, administrative assistant or similar role.
  • Knowledge of medical terminology, procedures, and insurance processes.
  • Knowledge of the mental health industry a plus!
  • Strong computer skills, including proficiency in MS Office, Google Workspace (Google Suite) and experience with electronic health records (EHR) systems.
  • Excellent communication, interpersonal, and customer service skills required.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy in administrative tasks.
