Provide high-level administrative support to leadership, employees, student physicians, affiliate colleges, and external partners
Act as first point of contact for internal and external visitors to the Office of Academic Affairs
Work under limited supervision on assignments complex in nature where significant judgment and initiative were required in resolving problems
Assist with overseeing and facilitating office day-to-day activities such as answering phone calls, maintaining client files/records, and providing comprehensive customer service
Perform a broad range of administrative support for staff and business meetings by publishing documents, conducting research, scheduling appointments, and providing client contact/support
Execute year-round the logistics planning, budgeting, and day-of show-running for annual graduation events, autumn scholarship recognition, and year-start ceremonies
Create and run seasonal programs towards student physician wellness and improved student experiences
Filter, prioritize, and compose emails on behalf of organization for internal communications to employees, clients, and vendors
Maintain calendars for the associate deans, the vice dean, and a shared office account
Schedule meetings/appointments for six committees and hosted in-person and teleconferences
Supervise and organize three on-boarding programs for over 390+ clients during the beginning of the fiscal year
Generate status reports to senior management for activities critical to meeting organizational and departmental goals
Establish, process, and maintain clinical affiliation agreement contracts with peer organizations
Proactively implement new technological processes for better office and records management
Determine new solutions and improvements for day-to-day office operations
Identify and promptly address irregularities in working processes and provide swift fixes to bring tasks up to quality standards
On-board internal and external clients in a national database for travel/externship experiences
Act as College of Medicine's liaison and manager for Regulatory Compliance for student physician required trainings and certifications
Edit and review the annual calendar, policies and procedures manual as submitted by the Senior Associate Dean for Academic Affairs
Develop, manage, edit and review catalog guidance documents
Contribute to evaluating program quality and determining areas of improvement before and during accreditation periods
Provide auxiliary academic support, with duties as assigned
MINIMUMREQUIREMENTS:
AA/AS may be substituted for 4 years of required work experience.
BA/BS may be substituted for up to 4 years' work experience.
Compliance Salary Range Disclosure
Expected Pay Range: $55,000 - $61,000
