Job Description

Pittsburg State University is accepting applications for an Administrative Specialist in Alumni and Constituent Relations to oversee the operational and administrative tasks to support Alumni & Constituent Relations, the Alumni Association, University Advancement, as well as the Wilkinson Alumni Center. This includes overseeing the general accounting duties for all Alumni & Constituent Relations accounts, (including state and Foundation), interacting on a general day-to-day basis with alumni and constituents, and supervising student employees.

Duties and Responsibilities of Position

50%
  • Responsible for Gorilla License Plate/Alumni Legacy License Plate Scholarship Program. Manage the database of all participants and provide reports as needed. Determine qualified recipients for the Alumni Legacy License Plate Scholarship.
  • Assist Director and Assistant Director in coordination and preparation of major events such as Alumni Awards, Half-Century Reunion, Gorilla Gatherings, GorillaFest, etc.
  • Serve as the first point of contact for the Office of Alumni & Constituent Relations.
  • Manage communications, provide information, and respond to direct inquiries as appropriate. Decide if communications should be passed along to Director or others.
  • Collect, organize, and compose correspondences. Answer telephones, respond to email, forward messages, schedule and confirm appointments.
  • Monitor spending and reconciliation of multiple accounts on an ongoing basis.
  • Assist in planning of departmental budget.

  • Work with alumni database system to keep alumni records current and accurate.
  • Maintain and keep current RSVP and bio lists for alumni events using event registration system.
  • Manage all financials for Alumni & Constituent Relations and the Alumni Association.
  • Manage all events held at the Wilkinson Alumni Center.
  • Manage office inventory regarding supplies, materials, and office equipment.
  • Assist with marketing alumni travel program, credit card program, and alumni insurance program.
  • Oversee use of and submit maintenance requests as needed for offices, computers, and other equipment.

  • Manage the hiring, training, and supervision of student employees for the office and the building.
  • Schedule student employee work assignments and hours.
  • Manage the review and evaluation of student employee work performance.

  • Other duties as assigned.


Education and Experience:

Required Education and Experience at Hire -
  • High school diploma or equivalent.
  • Two years of experience in an office or administrative setting. Education may be substituted for experience as determined by the University.

Preferred Education and Experience -
  • Bachelor's degree
  • Graduate of Pittsburg State University
  • Experience working at Pittsburg State University
  • Experience supervising student employees

Job Type: Unclassified, Continuing Annual

Salary: Grade 5 - $18.50 per hour

Appointment Duration: 12 months

Work Schedule: Monday-Friday. 8:00 am to 4:30 pm
