Position: Administrative Assistant 1
Reports to: Business Manager
Location: St. Rita Catholic Church
General Position Summary: This position provides administrative and secretarial support for the office. In addition to typing, filing performs duties such as coordination of meetings on calendar. Answers phone and correspondence and assembles confidential and sensitive information. Deals with a diverse group of employees, callers, and visitors.
Principal Accountabilities:
- Establishes, develops, maintains and updates filing system for the office. Retrieves information from files when needed.
- Organizes and prioritizes large volumes of information and calls.
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Answers phones for the office. Takes messages, directs calls or fields/answers all routine and non-routine questions. Works in cooperation with other employees to cover phones.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Responsible for all other projects, tasks, etc., as assigned.
Working Conditions and/or Physical Requirements:
- This position works in a professional office environment but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
- This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary, extending arms and reaching files stored in multiple levels on file shelves; climbing up a step ladder to access files.
- Significant amount of time regularly spent answering and speaking on the telephone and corresponding via email.
- Database entry via computer keyboard that requires repetitive hand and wrist movements.
- Ability to lift up to 35 pounds without assistance.
Education and Experience Preferred:
- Associates degree preferred with at least 1 – 2 years of administrative experience.
- High level of competence with Microsoft Office Suite.
- Bilingual English and Spanish strongly preferred.
- Be experienced with PDS
Knowledge and Skills Preferred:
- Must be a practicing Catholic in good standing with the Church with knowledge of Catholic Church organization and function.
- Ability to maintain the highest degree of confidentiality and professional discretion.
- Proficient and professional in both oral and written communication in English and Spanish. Excellent penmanship.
- Excellent telephone and interpersonal skills; ability to interact competently and compassionately with those who call or visit the office as well as with parish staff and volunteers
- Ability to organize and multi-task.
