MOVE Staffing is looking to hire for a great Administrative Assistant position! In this role, you are in charge of handling the small details to keep them moving toward achieving growth. You will organize and update files, enter and update information in their Zoho CRM, Survey, Campaigns, and Books, schedule meetings and complete notes, support client projects, and create presentations and sales materials such as flyers. The ideal candidate is tech-savvy, detail-oriented, able to communicate through multiple channels, and super organized. Key Duties Make phone calls or send emails to schedule and coordinate meetings, follow up on information or projects, and finalize travel Manage communication and answer emails; project-relatedlated emails and project-relatedlated phone calls Prepare and organize databases and reports, especially within Zoho CRM and Books Enter new accounts and invoices into Zoho CRM and Books Manage social media accounts, post on social media, and respond to posts Handles customer and employer information confidentially Take notes or transcribe meetings conducted online and share minutes of meeting Arrange payments for vendors, travel, and sales expenses Create purchase and sales orders, purchase orders, invoices, and track and manage payments and expenses Manage filing systems, update records, and organize documentation Prepare and create PowerPoint presentations and materials as needed Online research for materials and sources for presentations Provide project related support including client contacts, meeting scheduling, note-taking, research, tracking of deliverables, and presentation preparation Conduct research to compile and organize materials and sources for presentations, sales calls, etc Email Management - organize correspondence and respond to emails; draft, send, and prepare emails Data Management - Manage filing systems, update records, complete data entry, and organize documentation especially in Zoho CRM Administer and track DISC assessments Coordinate training workshops with trainers, complete paperwork, and register participants if needed but this is rare Assist with month-end financial reports Post journal entries Help with accounts receivable, payable, and bank statement reconciliation Assist with audits Reconcile balance sheet accounts Collaborate with the finance team on yearly forecasting efforts Manage monthly tracking of physical inventory Support the payment processing team Perform credit checks Assist with data entry Job Qualifications High school graduate or above Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel) Experience with Zoho or other CRM tools a plus Well-versed with technology especially MS Office Highly organize detail-oriented multi-tasker and ability to work on multiple projects Demonstrates excellent time management skills Able to balance and prioritize multiple projects and meet deadlines Self-directed and able to work without supervision Excellent verbal and written communication skills Strong customer service and presentation skills Marketing and remote work experience a plus If interested, please send your resume to info@movestaffing.com or call us with any questions at (740) 439-MOVE(6683).
