Summary of the Role:
The Executive Assistant will play a pivotal role in supporting two senior leaders by managing calendars, travel arrangements, meeting coordination, and various administrative tasks. Additionally, this role involves collaborating with a family office team to handle personal and financial matters for the executives, such as trust and estate documentation and investment accounts. This position is ideal for someone who excels in organization, communication, and prioritization in a high-level, client-focused environment.
Responsibilities:
Calendar & Meeting Management
- Efficiently manage executive calendars, scheduling meetings, calls, and appointments to ensure effective time management.
- Organize both internal and external meetings, working closely with team members and stakeholders.
- Arrange travel logistics, including flights, accommodations, and ground transportation, ensuring seamless travel experiences.
- Create detailed travel itineraries and handle any last-minute adjustments.
- Oversee expense reporting, ensuring timely and accurate submissions for all stakeholders.
- Track and monitor payments, budgets, and reimbursements related to executive expenses.
- Prioritize and track tasks across multiple projects, collaborating with team members and vendors to meet deadlines.
- Support ongoing projects and manage time allocation tracking for executives on legal and financial matters.
- Act as a primary liaison, ensuring clear and professional communication between executives, team members, and external contacts.
- Draft and manage correspondence, maintaining professionalism in all interactions.
- Utilize tools like Outlook, Asana, and billing software to streamline workflows and improve task management.
- Proven experience supporting multiple executives with strong multitasking and organizational skills.
- Excellent communication and interpersonal abilities, with a focus on detail.
- Proficiency with scheduling, project management, and communication tools.
- High level of discretion and professionalism, especially with confidential information.
- Primarily on-site with hybrid flexibility (3 days in office/2 days remote).
