About the JobBrightly Software, a Siemens Company is looking for an Executive Assistant (EA) who wants to work in a fast-paced and growing organization. We are looking for someone to support three of our Executives, including our Chief Client Officer, Chief Product Officer, and Chief Marketing Officer. We are looking for an experienced EA to support these leaders and their global teams which combined, make up approximately 40% of the headcount in the Brightly organization (~1100 employees and growing).
This Executive Assistant will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, light project management and organizational duties around meeting agendas and notetaking, and coordinating domestic and international travel. Best practices and desires to take on additional responsibilities such as slide deck preparation are welcome additions to the required role responsibilities. In addition to the responsibilities associated with supporting the identified executives, a collaborative, team player mindset is imperative as this person will work across functional boundaries with other EAs and key business partners.
What you will do:- Manage complex calendar and scheduling requirements
- Provide seamless support to senior leaders using prioritization of business activities
- Coordinate travel
- Handle expense reporting
- Track and help drive completion of key deliverables and follow up on outstanding items
- Drive key team activities (such as staff meeting agendas, all-hands meetings, supply ordering, and cyclical events like annual planning sessions and performance reviews)
- Work with other EAs throughout Brightly and more broadly in Siemens
- Serve as the single point of contact for team events and meetings
- Support and, at times, manage small to medium projects based on organizational needs and professional development interests
- 8+ years of senior level leadership support experience
- High school or equivalent diploma
- Proficiency with Microsoft Office products and applications
- Experience with C-level executive calendar management
- Experience as an Executive Assistant
- Superior attention to detail and ability to meet tight deadlines
- Ability to collaborate, partner, and build trusting relationships with EA peers
- Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
- Strong organizational, communication, and interpersonal skills
- Strong analytical skills
- Demonstrated ability to design and improve processes
- Ability to prioritize and handle multiple assignments at any given time
- High level of integrity and discretion
- Impeccable attention to detail
- Ability to work effectively with minimal supervision

The pay range for this position is $80,000 - $107,700. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
