Full-time Job Summary:

We are seeking a detail-oriented and organized Secretary to provide administrative and clerical support to ensure the smooth functioning of our office. The ideal candidate will be a proactive professional capable of managing multiple tasks efficiently while maintaining confidentiality and professionalism. Key Responsibilities: Administrative Support: Answer and direct phone calls, emails, and other correspondence. Schedule appointments, meetings, and manage calendars. Prepare and distribute memos, reports, and presentations.

Clerical Duties: Maintain and update filing systems, both physical and digital. Perform data entry and ensure accuracy of information. Handle incoming and outgoing mail and packages.

Coordination: Assist in planning and organizing events, meetings, and conferences. Communicate with internal and external stakeholders. Manage office supplies inventory and coordinate orders.

Document Preparation: Draft, proofread, and edit documents as required. Prepare meeting agendas and take minutes.

Other Duties: Ensure compliance with company policies and procedures. Undertake other responsibilities as assigned by management.

Qualifications: High school diploma or equivalent; additional qualifications in office administration are a plus. Proven experience as a secretary or in a similar administrative role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills. Strong organizational and multitasking abilities. Ability to maintain discretion and confidentiality.
