Position Overview:
We are seeking a detail-oriented and proactive Secretary to join our team. The ideal candidate will provide administrative support, ensure efficient office operations, and facilitate communication within the organization. This role requires excellent organizational skills, effective communication abilities, and a high level of professionalism. Key Responsibilities: Administrative Support: Manage and maintain schedules, appointments, and meetings for executives or departments. Prepare and distribute correspondence, memos, and reports. Handle incoming and outgoing mail, emails, and phone calls.
Office Management: Maintain office supplies inventory and order supplies as needed. Organize and maintain filing systems, both electronic and physical. Ensure the smooth operation of office equipment and coordinate repairs when necessary.
Communication: Serve as the first point of contact for visitors and clients. Coordinate internal and external communications, including meeting logistics and agendas. Liaise with other departments to ensure timely information flow.
Document Preparation: Draft and proofread documents, presentations, and reports. Compile and distribute meeting minutes and follow-up actions.
Data Management: Maintain accurate records and databases. Assist in data entry and reporting tasks as needed.
High school diploma or equivalent (required). Excellent organizational and time-management skills. Strong verbal and written communication abilities. Ability to handle sensitive and confidential information with discretion. Detail-oriented with strong proofreading and editing skills. Problem-solving skills and the ability to work independently.
