The Senior Payroll Administrator is a very hands-on role that will manage the Payroll Department. The department’s critical tasks include processing three payrolls: one Bi-weekly and two Monthly.
The Senior Payroll Administrator will be responsible for the following payroll tasks:
Supervising the payroll administrator
Preparing federal and state tax information for reporting and payment, reconciling with ADP for issues.
Account analysis
Reconciliations
W-2 preparation and submission
This position is full-time, at-will, exempt, and hybrid, requiring attendance at the Chicago campus 3 days per week. The Senior Payroll Administrator reports to the Associate Vice President of HR Technology & Solutions. Knowledge, Skills and Abilities Required: Bachelor’s degree in Accounting, Human Resources, or Business Administration is desirable. Excellent organizational, communication (written and verbal), interpersonal skills, keen attention to detail, and multi-tasking skills. Banner experience required. Payroll processing experience with ADP systems required. Knowledge and understanding of federal and state withholding requirements required. Working knowledge of Excel, Word, and Outlook required. Ability to exercise considerable judgment and discretion in establishing and maintaining good working relationships. Ability to demonstrate a commitment to service excellence by embodying Roosevelt’s core values, mission, and vision in every aspect of the role working with students, faculty, staff, and visitors. Normal climate-controlled office environment is provided. Job is largely sedentary, but there may be a need to move about the office frequently. Occasional bending, stooping, lifting, pushing and/or pulling is required (typically less than 10 pounds of weight or pressure). Regular use of desktop computer is required, calling for frequent hand/wrist movement and repetition. Moderate level of stress. Essential Job Functions: Compile, input, and process payroll information to produce accurate employee paychecks. Ensure payroll data input is accurate, complete, and entered on time. Thoroughly review the payroll previews and make the necessary adjustments. Process off-cycle payments and manual checks. Assist the Payroll Administrator and oversee the preparation and processing of payroll. Resolve payroll issues and respond promptly to all payroll-related questions from employees. Effectively communicate, uphold, and explain payroll policies to employees. Assist with W-2 preparation and provide support with the Year-End process. Prepare data and process Bi-weekly and Monthly Payroll Runs, create payroll checks to be printed, prepare bank payment files for submission and payment, and prepare Federal and State Tax files for payment. Check for discrepancies between Banner and ADP before approving payroll in ADP. Administer Timetech (Synerion) system, process redistributions, and supervise Payroll Administrator position. Prepare and distribute all required payroll reports according to the appropriate schedule. Research and resolve employee-related problems and questions. Interact closely with the Human Resources and Benefits Administrator to complete the necessary paperwork required for payroll processing. Posting Specific Questions
