We are looking for a detail-oriented and experienced Senior Payroll Administrator to lead and manage payroll operations for our growing workforce. In this role, you will be responsible for ensuring the accurate and timely processing of payroll, maintaining compliance with tax and labor regulations, assisting in optimizing payroll systems, and supporting cross-functional teams including HR, Accounting, and FP&A. The ideal candidate has a strong background in payroll administration, a deep understanding of payroll software and statutory requirements, and a proactive approach to process improvement and problem-solving. This is a remote US role with a slight preference for candidates based in San Francisco, San Diego, or Boston. What you will do: Payroll Processing and Management Oversee multi-state, semi-monthly payroll processing for all employees. Perform day to day payroll operations including onboarding new hires, merit increases, department changes, terminations, leave of absences, bonuses, commissions, garnishments, and other additional payments accurately and timely. Validate and reconcile payroll runs and reports for approval before final submission. Compliance and Regulation Ensure payroll practices comply with local, state, and federal laws. Stay up to date with tax laws, labor regulations, and statutory requirements. Handle year-end tax reporting, such as W-2s, and ensure timely submissions to authorities. System Maintenance and Optimization Maintain and update payroll software and systems. Collaborate with HR and IT to ensure system integrations and upgrades are functioning properly. Troubleshoot and resolve payroll system issues. Audit and Reporting Prepare payroll reports for management and finance (e.g., cost reports, variance analysis). Prepare and import monthly journal entries for benefits and payroll as needed. Create monthly reconciliations of benefit invoices, payroll accounts, and taxes for review and approval. Assist with internal and external payroll audits. Maintain proper documentation and payroll records in accordance with retention policies. Employee Support and Communication Address employee payroll inquiries in a timely and professional manner. Educate staff on payroll policies and procedures, including benefits, leave, and deductions. Process Improvement Identify inefficiencies in payroll operations and recommend solutions. Implement best practices for improved accuracy and efficiency. Equity Administration Accurately enter and maintain employee equity data in Carta Assist in preparing equity grant and exercise information for approval by board members Process equity transactions including grants and exercises Assist in reconciling equity records and reports for audit and compliance purposes We would love to have you on our team if you have: 5+ years multi-state experience in growing companies with a deep understanding of payroll regulations, tax laws, and compliance requirements. Global payroll experience is a big plus. Extensive experience with large company HRIS/Payroll systems like ADP, UKG, Workday, etc with preference for UKG Pro. Strong attention to detail, problem-solving abilities, and the capability to clearly communicate complex payroll information to employees and stakeholders, often in confidential or time-sensitive situations. Ability to align payroll data with accounting systems, including journal entries, reconciliations, and month-end reporting. Handles sensitive employee data and compensation information with discretion and trustworthiness. Works effectively with HR, Finance, and external vendors to ensure payroll accuracy and compliance. US locations are categorized into tiers based on a cost of labor index for that geographic area. While most offers will be closer to the starting range, successful candidates' pay will be determined based on job-related skills, experience, qualifications, work location, internal peer equity, and market conditions. These ranges may be modified in the future. Region 1 $112,000-$140,000 Region 2 $100,000-$125,000 Region 3 $94,000-$117,000 A recruiter can determine your zones/tiers based on your US location.
