Job Description
Mill Supplies, Inc. is looking for a detail-oriented and proactive Customer Service Representative (CSR) to join our team. This role will provide exceptional service to clients by assisting with inquiries, processing orders, and ensuring an efficient flow of information. The ideal candidate will bring experience in an industrial setting, knowledge of tools and hardware, and an ability to thrive in a fast-paced environment, such as a call center.
Key Responsibilities:Client Support & Communication:
- Serve as the primary contact for customers, addressing inquiries, concerns, and requests professionally and promptly.
- Manage communications through phone, email, and other channels, providing clear, accurate, and timely responses.
- Follow up with customers to confirm order status, resolve any issues, and gather feedback to enhance customer satisfaction.
Order Management:
- Accurately process and track customer orders, ensuring all details align with client needs and product specifications.
- Coordinate with internal teams such as sales, warehouse, and logistics to ensure timely and complete deliveries.
- Provide clients with updates on order statuses and proactively communicate any delays or changes.
Product Knowledge:
- Develop a comprehensive understanding of Mill Supplies' products, including industrial tools, machinery, safety gear, and maintenance supplies.
- Guide customers in selecting products based on their requirements and provide advice on product use and maintenance.
Problem Resolution:
- Address product or service issues, collaborating with relevant departments as needed.
- Handle product returns, exchanges, and warranty claims in line with company policies.
- Document customer interactions, complaints, and resolutions to maintain thorough records and ensure quality service.
Data Management & Reporting:
- Maintain and update customer records in the CRM system, ensuring data accuracy and compliance.
- Generate customer service reports to track inquiries, identify trends, and help improve service delivery.
Collaboration:
- Work closely with sales, warehouse, and procurement teams to align on inventory and customer needs.
- Participate in team meetings to provide customer insights and contribute to service improvement initiatives.
- Education: High school diploma or equivalent; bachelor’s degree in business, communications, or related field is a plus.
- Experience:
- Minimum of 2 years of customer service experience in an industrial supply or manufacturing environment is strongly preferred but not required.
- Proven experience in a fast-paced setting, such as a call center, where multitasking and prompt responses are essential.
- Skills:
- Excellent communication skills, both verbal and written.
- Strong problem-solving abilities and attention to detail.
- Proficiency with CRM and ERP systems.
- Basic knowledge of industrial tools, machinery, and maintenance supplies.
- Ability to handle multiple tasks and work effectively under pressure.
- Familiarity with safety standards, industrial products, and equipment maintenance.
- Basic tool and hardware knowledge, with experience advising customers on tool selection and usage.
- Experience in inventory management or logistics is a plus.
