The Benioff Center for Microbiome Medicine (BCMM) at the University of California, San Francisco is looking for a talented Administrative Officer to help us maintain top-notch operations and support our mission-driven team. As the BCMM Administrative Officer, you will report to the Assistant Director of Operations and work closely with other BCMM and GI staff and BCMM leadership. Key responsibilities are outlined below. Human Resources Management: Oversee all personnel recruitment, onboarding, offboarding, and performance reviews. Ensure completion and submission of HR-related forms and documents. Office and Equipment Management: Oversee daily office functions, including supplies, equipment, and research facilities management. Executive Support: Assist senior management with calendar scheduling, meeting coordination, reimbursements, and travel arrangements. Website and Communication: Maintain the center's website and email correspondence. Event Coordination: Lead the planning and execution of special projects, including seminars, symposia, and retreats. Manage logistics, marketing, registration, and vendor payments. Team Collaboration: Work with other BCMM, GI, and UCSF staff to ensure efficient workflow and support cross-functional activities Operational Effectiveness: Assess and recommend improvements to policies and procedures. Use project management tools to manage tasks, timelines, and communication. This position is hybrid and requires being onsite at least 3x a week.
The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $75,700 - $123,100 (Annual Rate). The Department has a decentralized organizational structure across four sites (Parnassus, ZSFG, VAMC and Mt. Zion) and 38 divisions. Authority and accountability for the Department rests with the Department Chair who heads the Parnassus and Mt. Zion sites, and also directs the Vice Chairs at the ZSFG and VAMC sites.
The Division of Gastroenterology (GI) is a large subspecialty division in the Department of Medicine. Divisional activities include patient care, teaching, and research at the UCSF Parnassus Medical Center as well as the Mt. Zion, Mission Bay, ZSFG, and VAMC affiliated campus sites. The GI Division at the Parnassus campus has a total of 125 personnel, including 44 full time faculty, 26 fellows, 9 administrative support staff, and 53 research personnel, 4 volunteer clinical professors, teaching includes two ACGME accredited fellowship programs as well as two Non-ACGME fellowship training programs, including Gastroenterology (21) and Advanced Liver Transplantation (3) as well as Advanced Endoscopy (1) and IBD (1), and annual fiscal expenditures of ~$26.5M.
The Benioff Center for Microbiome Medicine (BCMM) in the GI Division is home to UCSF's community of over 380 faculty, staff, and trainee members interested in the human microbiome research. Established in 2019 by the generous support of Mark and Lynne Benioff, the Center provides access to state-of-the-art technology hubs, research funds, educational programming and workforce development opportunities to advance our knowledge of the human microbiome's potential to predict, prevent, and treat a wide range of diseases.
Required Qualifications Bachelor's degree in related area and three or more years of relevant experience and / or equivalent experience / training. Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management. Thorough knowledge of a variety of administrative operational activities such as complex event planning, website design, and human resources policies and procedures for staff and academic employees. Strong interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills. Strong ability to work collaboratively with internal and external peers and managers. Ability to use discretion and maintain confidentiality. Strong skills in short-term planning, analysis, problem-solving, and customer service. Strong ability to think critically and independently on concepts requiring advanced analytical skills. Ability to manage and prioritize multiple tasks; ability to meet deadlines and follow through on assigned duties; ability to work well under pressure; ability to maintain a service-oriented approach Exceptional attention to detail Advanced computer skills (MS Office, including Word, Access, Excel, and PowerPoint, Outlook), project management software (Airtable), and University-specific tools (PeopleConnect, BearBuy, 25Live) Preferred Qualifications Academic background and experience in selected area of research.
