Position Summary:
The Front Office Administrator is the welcoming face of our practice and is responsible for providing exceptional customer service and administrative support. This role requires effective scheduling, payment handling, and meticulous Medicaid and Medicare approvals tracking. The ideal candidate is detail-oriented, efficient in handling patient inquiries, and skilled in managing a fast-paced front office environment.
Key Responsibilities:
- Reception & Customer Service
- Greet patients, visitors, and staff warmly and professionally.
- Answer incoming calls, manage inquiries, and direct calls as needed.
- Address patient questions regarding appointments, billing, and general inquiries promptly and courteously.
- Appointment Scheduling:
- Coordinate and schedule patient appointments for the doctor, ensuring efficient use of clinic time.
- Confirm appointments with patients and manage cancellations or rescheduling requests.
- Payment Handling
- Collect patient payments during service, accurately record transactions, and issue receipts.
- Assist patients with payment plans or billing inquiries as needed.
- Insurance and Billing Support:
- Track and verify Medicaid and Medicare approvals, ensuring all necessary documentation is up to date.
- Monitor any changes in Medicaid/Medicare policies and update patient records accordingly.
- Coordinate with the billing department to address any discrepancies or issues with insurance claims.
Administrative Support:
- Maintain patient records and ensure compliance with confidentiality regulations.
- Organize and maintain the front office area to promote a professional environment.
- Provide administrative support to the doctor and clinical staff as needed.
Qualifications:
A high school diploma or equivalent is required; an associate degree in business or a related field is preferred.
1-2 years of experience in a medical office or similar environment.
Proficiency in Microsoft Office and scheduling software.
Familiarity with Medicaid and Medicare processes is a plus.
Strong interpersonal and communication skills with a customer-oriented approach.

Excellent organizational and time management skills.
Ability to handle sensitive information with discretion and adhere to HIPAA regulations.
Detail-oriented with strong problem-solving abilities.
Work Hours:
8:00 AM – 5:00 PM, Monday through Friday
