Responsibilities:
The Administrative Coordinator will perform a variety of clerical and office duties for the hospital's Plant Maintenance and Engineering Department. Provides clerical support to the office and engineering personnel. Receives telephone requests for maintenance and repair work, prepares work requisition forms and submitsappropriately. Prepares and logs material requisitions prior to forwarding to Purchasing. Manages small departmental special projects as assigned. Provides assertive follow-up on issues as they arise and follow through into completion. Assists in preparing budgeting reports and utility usage reports. Prepares biweekly payroll sheets, and timecards for approval and generates associated reports. Prepares routine departmental letters, memoranda, reports, records, etc. Performs Receptionist duties, heavy telephone volume and resolves routine inquiries.
Additional duties include schedules appointment with outside vendors well as greets and screens office visitors. Establishes and maintains all departmental files and records in an updated orderly fashion. Manages/distributes mail, posts data in utility logs and reports noted discrepancies to leadership. Matches packing slips, invoices, statements etc. to appropriate purchase orders prior to submitting to Accounts Payable and follows up on payment discrepancies as necessary. Maintains current log of maintenance contracts. Prepares and monitors schedules for staff in-service training, vacations, etc. Performs data-entry functions for preventative maintenance and repair order tracking. Maintains records of PMs, Maintenance and Inspections. Performs all other related duties as required.
Qualifications:
High School diploma or GED as well as one year of college/secretarial school. Minimum of three years secretarial experience required. Strong computer, organizational and communications skills required. Strong knowledge of MS Office (Word, Excel, Powerpoint) as well as database systems needed.
