Jolt is a non-profit organization founded in 2016 to increase the civic participation of Latinos in Texas to build a stronger democracy and ensure that everyone's voice is heard. Jolt knows that our democracy works best when everyone gets a seat at the table. That's why Jolt builds the leadership capacity of Latinos to mobilize their peers to action. Jolt lifts up the voices of young Latinos in Texas to tell their own stories through creative arts and acts, development institutes, and student leadership.

Jolt believes that Texas is poised for change, with a growing and disaffected Latino population. Today, 1 in 3 eligible voters in Texas is Latino and projections indicate that by 2030, Latinos will make up the majority of the state's population. But demographics alone aren't destiny. Winning change requires building a homegrown movement and a smart, focused, long-term strategy that can deliver equality and power to those who are most excluded and often first impacted.

EXECUTIVE ASSISTANT

The Executive Assistant reports directly to the Executive Director, providing executive, administrative, and development support to the Executive Director and Board of Directors. The Executive Assistant also serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Director. The ideal candidate will be a self starter, proactive problem solver with exceptional communication skills and meticulous attention for details. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

PRIMARY RESPONSIBILITIES AND DUTIES

  • Prepare for executive and leadership meetings with detailed briefs, agendas, and intended outcomes.
  • Assist Executive Director with donor stewardship and update donor database after each stakeholder meeting to include clearly defined next steps
  • Work with development team to prepare profile portfolios for stakeholder meetings
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to executive and leadership teams
  • Manage travel logistics and activities, including accommodations, transportation, and meals including expense report reconciliation with priority given to Executive Director
  • Manage project and event timelines and planning as needed, while effectively communicating project status and related information as required.
  • Assist with company and program logistics and participate at stakeholder events
  • Financial Coordination:
    • Manage accounts payable and accounts receivable processes.
    • Perform daily financial transactions, including verifying, classifying, and recording accounts payable data.
    • Support the month-end and year-end close processes.
    • Maintain accurate and up-to-date financial records and documentation.
  • Manage all board meeting logistics, including board and committee agendas and calendars, timely preparation and distribution of agendas, notifications, and advance reading material.
  • Maintain professionalism and strict confidentiality with all materials
  • Other duties as assigned
QUALIFICATIONS

The Executive Assistant should demonstrate competence in some or all of the following:
  • Four or more years of experience in an administrative role reporting directly to executive leadership
  • Associate's Degree
  • Self starter with strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Excellent verbal and written communications skills including editing and proofreading
  • Ability to maintain confidentiality of information related to the company and its employees
  • Proficiency in Google Drive, Google Docs, Google sheets, Excel, PowerPoint
  • Experience using social media platforms such as Twitter, Instagram and Facebook
  • Drivers license and reliable transportation
  • Passion and dedication for Jolt's mission
  • Spanish language fluency
LOCATION

This position is based in Texas and reports to the Executive Director. Jolt is reviewing resumes on a rolling basis.

COMPENSATION

This position pays $50,000 - $55,000 per year. Salary commensurates with education and experience. Jolt's benefit package includes full employer-covered health care, employer match retirement contribution up to 4%, employer-provided life insurance policy, monthly cell phone reimbursement, and 18 paid holidays, vacation, personal time off, sick leave, plus additional benefits. Standard business office hours apply to this position and will discuss with selected candidates during the interview.
