Overview:

WHO are we looking for?

CAPTRUST is seeking an Executive Assistant. The Executive Assistant will be responsible for high-level administrative support for the firm including, but not limited to, C-suite level executives and financial advisors. This dynamic role requires the ability to think critically, anticipate needs, and offer solutions to problems with a high level of professionalism and confidentiality. A meticulous attention to detail, ability to prioritize efficiently, and strong organizational skills while multitasking are also a must. The ideal candidate is exceptionally polished, professional, and driven. This is an in-office position. Primary responsibilities may include the following, among others:

Responsibilities:
  • Provide high-level administrative support and personal assistant duties for C-suite level executives, advisors, and department managers
  • Manage high volume of multiple calendars and schedule meetings and appointments for executives, advisors, department managers, and external stakeholders. This includes scheduling and logistical coordination with facilities, security, IT, and caterers when needed
  • Arrange complex and detailed travel plans and itineraries for business travel; manage and reconcile expense reports
  • Possible travel to assist executives
  • Answer telephone, route calls, and take and distribute messages appropriately
  • Prepare conference rooms for meetings; clean and sanitize conference rooms after meetings
  • Greet clients and visitors with courtesy and enthusiasm
  • Provide general office support including copying, faxing, and filing, as well as handling office and personal errands
  • Process and manage incoming and outgoing communications (fax, retrieve mail daily (open, distribute and electronic scanning), retrieve and sign for packages, receive and correspond via email following firms compliance policies
  • Assist with planning and preparation of client and employee events
  • Manage a high volume of tasks with keen attention to detail and a high degree of accuracy
  • Serve as a back-up to additional administrative professionals (cover front desk or other tasks as needed)
  • Communicate effectively with internal team members, positively and professionally
  • Perform other duties and special projects as assigned


Qualifications:

Minimum Qualifications:

  • College degree preferred, or a minimum of 7-10 years of relevant experience working with C-suite personnel and/or training, or equivalent combination of education and experience

Desired Qualifications/Skills:

  • Financial services background preferred but not required
  • Excellent written and verbal communication skills
  • Proficient computer skills including Microsoft Office Suite
  • Proficient in Concur and SharePoint preferred, but not required
