Job Description
Resolve Surgical is seeking a highly organized and proactive Executive Assistant with strong paralegal skills to support our executive team.
POSITION SUMMARY:
Executive Assistant: This position will play a pivotal role in managing the daily activities of senior leadership, ensuring the smooth operation of administrative tasks, serve as the primary point of contact for the facility, and providing essential paralegal assistance for legal matters. This role requires excellent communication, attention to detail, confidentiality, and the ability to prioritize in a fast-paced environment. This position is critical in helping Resolve Surgical Technologies maximize the number of patients served while maintaining a high level of quality and safety.
RESPONSIBILITIES:
Executive Assistant:
- Maintain the general office appearance, office equipment, including general office area, conference rooms
- Greets visitors, answers incoming calls, sort and distributes mail and provide general office support
- Ensure visitor registration and log-in completed to include necessary Non-Disclosure Agreements, (NDAs), Confidentiality Agreements, Business Associate Agreements (BAAs).
- Assist Facilities and Maintenance team with maintaining and managing the office layout / seating plan
- Facilitate local vendors, contractors, and service providers as needed
- Prepare documentation for new vendor set-up, process invoices and check requests and requests for distributor reimbursements as needed
- Complete, process and approve purchase requisitions
- Provide confidential administrative support to senior leadership and the broader team including:
- Create, edit, and update presentations for Monthly Operating Review (MOR) meetings
- Coordinate logistics for onsite meetings and training sessions and assist/arrange travel arrangements
- Organize and coordinate internal and off-site meetings, teleconferences and web conferences
- Maintain and update calendars / conference rooms via Outlook
- Complete and process expense reports / reimbursements when authority is delegated
- Support broader team by developing and broadcasting key organizational messaging and communications
Paralegal Support:
- Assist with the preparation, review, and management of legal documents such as contracts, agreements, and compliance filings.
- Coordinate with outside counsel on legal matters as directed by the executive team.
- Support executives in handling inquiries related to corporate governance, risk management, and other legal matters.

EDUCATION/EXPERIENCE REQUIRED AND/OR PREFERRED:
- Bachelor’s degree in business administration, management, or a related field is required or equivalent work experience may be considered in lieu of a degree
- 3+ years of administrative or executive experience
- 2+ years of experience in the legal environment (legal internships, clerkships, corporate legal departments, as a paralegal or government agencies)
KNOWLEDGE, SKILLS, AND ABILITIES:
Technical Competencies
- Excellent Microsoft Outlook, Word, Excel, and PowerPoint skills
- Ability to generate, extract, and promptly deliver data upon request to senior executives
- Strong calendar and schedule management
- Understanding of confidentiality protocols and data protection regulations (e.g., General Data Protection Regulation (GDPR) and Health Insurance Portability and Accountability Act (HIPAA)).
- Knowledge or exposure to legal terminology, procedures, and document drafting
- Knowledge or exposure to compliance, contracts, and/or corporate governance
- Ability to use document management systems
