Non-Exempt Fulltime Basic Responsibilities
Provide direct executive assistance to the Dean of GST/VP for Church Relations. Provide administrative support to the Siburt Institute for Church Ministry. Perform a variety of administrative duties as required by the daily operations of the Graduate School of Theology and Siburt Institute for Church Ministry. Provide support to GST faculty. Essential Duties
Provide direct executive assistance to the Dean of the GST/VP for Church Relations.
Work directly with the Dean/VP to support all aspects of his daily work routine. Coordinate travel arrangements and expenses for the vice president. Maintain appointment schedules and arrange meetings for the vice president. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material. Schedule team, faculty, and GST Governing Board meetings; assist in preparation and distribution of meeting agendas and materials.
Provide administrative support to the Siburt Institute for Church Ministry.
Provide professional phone coverage during business hours. Provide occasional office support to the assistant director. Collaborate with other Siburt Institute personnel through the work of the Action Team. Coordinate contracts, invoicing, and payments for consultants, contractors, and program participants.
Perform a variety of administrative duties as required by the daily operations of the GST and SI.
Manage budgets; prepare, reconcile, and submit expense reports for purchasing cards for the GST, Doctor of Ministry program, and SI. Maintain appropriate levels of office supplies. Collaborate with and represent ACU to numerous offices, organizations, and individuals both on- and off-campus. Assist with general office work such as photocopying, filing, scanning, and errands.
Provide academic support for the faculty of the GST.
Manage course details such as creation of semester courses, ePAFs, and teaching agreements. Manage syllabi and booklists. Assist faculty with limited technology support in the classroom. Credentialing for new faculty or adjuncts. Coordinate and plan necessary arrangements for short courses.
Professional Development Requirements
Skills:
High proficiency in Microsoft Word and Excel required. Proficiency in PowerPoint and Publisher preferred. High proficiency in Google Drive (Docs and Sheets), Calendar, and Email (Gmail) required. High-level skills in business writing required. Must exhibit strong abilities in spelling, grammar, and style. Smartsheet knowledge preferred. Training Modules Required:
Adobe Sign (electronic forms) Smartsheet (project management software) Sales Force (CRM software) Banner (internal software) Canvas (online learning management system) Concur (travel and expense management) TouchNet (online store) Qualifications

The employee in this position must be able to interact professionally and collegially with Christian leaders. Professional:
Bachelor’s degree preferred. Minimum of five years’ work experience in comparable position preferred. Experience in a university setting a plus. Personal:
Strong organizational skills and high attention to detail. Ability to complete tasks and projects independently and responsibly. Strong verbal and written communication skills. Discretion and good judgment when handling confidential information. Friendly demeanor. Ability to multi-task in a fast-paced office environment and manage complex projects. Physical Demands
Able to carry boxes or other items weighing 15-20 pounds. Able to work extra hours on an as-needed basis. Able to work at a computer or sit in meetings for hours at a time. Must function efficiently and maintain self-control in stressful situations. Additional Information
