JASPER is a leading player in the automotive aftermarket manufacturing industry, known for innovation, quality, and excellence. We are seeking a highly organized and proactive Executive Assistant to support two of our senior executives.
Job Summary:
The Executive Assistant will provide comprehensive administrative support to two senior executives, ensuring efficient operation and coordination of their daily activities. This role requires a high level of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities: Calendar Management: Coordinate and manage the executives' schedules, including meetings, appointments, and travel arrangements. Communication: Serve as the primary point of contact between the executives and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and confidentiality. Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up on action items. Travel Arrangements: Plan and book travel itineraries, accommodations, and transportation for the executives. Prepare detailed travel itineraries and manage expense reports. Document Management: Maintain and organize important documents, files, and records. Prepare reports, presentations, and other documents as needed. Project Support: Assist with special projects and initiatives as directed by the executives. Conduct research and provide insights to support decision-making. Office Management: Oversee office supplies and equipment, ensuring the executives' work environment is well-maintained and efficient. Event Planning: Coordinate and manage company events, conferences, and executive off-site meetings. Qualifications:
Experience: Minimum of 5 years of experience as an Executive Assistant or in a similar role. Education: Bachelor's degree in Business Administration, Management, or a related field is preferred. Skills:
Excellent organizational and time-management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive information with discretion and confidentiality. Strong problem-solving skills and attention to detail. Ability to work independently and as part of a team.
