Description

The Office of Multi-Cultural Services area of Human Services Public Health is seeking an Office Specialist III, preferably Somali bilingual, to be part of a team that provides Hennepin County residents access to information services, and supports their needs allowing them to live healthy, safe, stable, and independent lives.

Location and hours:

This position is located onsite in South Minneapolis at 2215 East Lake Street, Minneapolis, MN 55407. Work hours are Monday through Friday, between 8 a.m. and 4:30 p.m.

In this position, you will:
  • Greet and assist walk-in clients who have limited English proficiency.
  • Answer and navigate clients' questions/concerns.
  • Enter client's information into appropriate databases including Q-flow, Broader Needs Assessment (BNA), etc.
  • Serve as a contact person to communicate with Outreach Liaisons, interpreters, supervisors and other affiliated with the office.
  • Answer phone and respond to voicemails.
  • Train new staff, volunteers, interns, etc. on front desk duties.
  • Assist clients with paperwork.
  • Order supplies when needed.
  • Assist the leadership team with special tasks and projects.
Need to have:
  • One of the following:
    • Two years or more of office clerical experience.
    • Two years or more of related post-high school education.
    • 18 months or more of office clerical experience and completion of the
    • One year or more of office clerical experience and completion of the

Nice to have:
  • Experience:
    • Using databases and computerized systems to perform data entry where accuracy and productivity are essential.
    • Working with computers and Microsoft Office applications such as Outlook, Word, Excel, and SharePoint.
    • Working with MAXIS, ECF, Q-Flow, and/or similar software.
    • Working with individuals from different cultures and/or individuals whose first language is not English.
  • Ability to:
    • Assist residents, community partners, and staff members with tact and discretion.
    • Handle multiple problems and assignments simultaneously, and work independently with minimal direction.
    • Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.
    • Recognize and respect cultural differences and provide culturally appropriate services.
    • Perform administrative tasks like taking meeting minutes on a rotating basis for unit meetings, helping with special projects or other tasks as assigned.
