Job Summary
We are seeking a dedicated and professional Office Manager/Front Desk Coordinator to join our team. The ideal candidate will be the first point of contact for guests and will play a crucial role in providing exceptional customer service. This position requires strong organizational skills, effective communication abilities, and a friendly demeanor to ensure a welcoming atmosphere for all visitors.
This position also requires travel to our satellite offices 1 day per office per month (3 days per month).
Responsibilities:
- Reception and Call Management:
- Serve as the front desk receptionist, greeting visitors and answering incoming calls professionally.
- Direct calls and messages to appropriate personnel, ensuring seamless communication.
- Office and Conference Room Management:
- Maintain cleanliness and readiness of conference rooms, ensuring equipment and supplies are available and functional.
- Coordinate and schedule use of conference rooms for team meetings and client presentations.
- Inventory and Supply Management:
- Track and manage office supplies, including ordering and restocking as needed.
- Maintain inventory levels to ensure office operations run smoothly and efficiently.
- Building Maintenance Communication:
- Act as the primary point of contact for building maintenance issues and coordinate necessary repairs and services.
- Liaise with building management and maintenance teams to ensure a safe, clean, and well-functioning work environment.
- Support Satellite Offices (Monthly Travel Required):
- Travel to satellite offices 3-4 days per month to provide on-site support and address specific office needs.
- Ensure uniformity and consistency in office procedures across locations.
Requirements:
- Proven experience as an office manager or in a similar administrative role.
- Strong organizational skills with the ability to multitask and prioritize tasks.
- Excellent communication and interpersonal abilities.
- Proficiency in office software (e.g., MS Office Suite).
- Reliable and punctual, with a professional demeanor.
- Ability to travel 3-4 days per month to satellite office locations.
Preferred Qualifications:
- Experience in managing supplies and handling building maintenance communications.
- Prior front desk or reception experience is a plus.
Job Type: Full-time
Pay: $48,000.00 - $52,000.00 per year
