The Administrative Assistant is responsible for administrative and clerical duties to support multiple departments and individuals. This individual executes the needs of the front office and provides excellent customer service by phone and in person.
Essential Job Duties
- Answers incoming calls and forwards to an appropriate staff person or takes a message if the person is not available. Communicates effectively on the telephone with patients, families and staff.
- Assists with medical supply orders, stocking, and organization.
- Provides assistance to the Human Resources, Finance, and Development departments, preserving the confidential nature of items of which he/she has knowledge.
- Supports internal and external communications in writing, email, and in-person for the hospice organization, including program newsletters.
- Ensures that all program forms are current and in compliance with Medicare and Medicaid regulations. Updates all current forms as needed.
- Keep Admission, Medicare, and Medicaid manuals up-to-date at all times.
- Welcomes and assists all guests.
- Assists with inventory and supply management.
- Manages incoming, outgoing, and interoffice mail.
- Performs typing, faxing, and copying tasks as requested for various staff persons.
- Other duties as assigned.
Position Qualifications
- Education: High School Diploma or GED
- Experience: At least 2 years of administrative experience, preferably in a healthcare or non-profit setting.
- Must be at least 18 years of age.
Desired Skills:
- Strong organization, interpersonal, and planning skills.
- Excellent customer service and communication skills.
- Ability to maintain a high level of attention to detail and accuracy.
- Knowledge of and a high level of proficiency in computer programs, specifically Word, Excel, and Publisher.
Benefits:
- Full-time employees accrue up to 168 hours of PTO annually, in addition to sick time accrued at the rate of 1 hour for every 40 hours worked. Bereavement and jury duty leave are also available.

- Ability to enroll in 401(k) and begin contributing at the time of hire. Heartlinks will match dollar for dollar up to 5% of earnings after one year of employment and 1080 hours worked.
